The National Agricultural Library (NAL) is preparing a program
planning document for systematically managing data in electronic
form. In some cases NAL will physically acquire the data, in
other cases, NAL will provide pointers in its OPAC to data held
by others. The planning document will include policies and
procedures for acquisition, cataloging, storage and preservation,
and distribution for the data or pointers to the data. The data
may be electronic publications such as e-journals or other text
files. The data may be unpublished data such as research data
from experiments or other data gathering activities. The data
may be acquired from or stored on a commercial CD-ROM, an on-line
source, magnetic tape, or other media.
What we are looking for now are formal or informal procedures,
planning documents, and such from other institutions with similar
goals.
We are interested in:
+ collections development statements for electronic data,
+ policies and procedures for processing and cataloging the data
(e.g., are all "works" on a CD-ROM cataloged or only the CD-
ROM itself),
+ policies and procedures for handling and preservation of the
physical media used for storage (e.g., CD-ROMs, laser disks,
optical disks, magnetic tapes),
+ policies and procedures regarding on-site and off-site patron
access to data,
+ and policies and procedures for document distribution (e.g.,
do you distribute printed versions from CD-ROMS on request,
floppy disk versions?).
If there is sufficient response, I will post a summary of the
replies.
