Project Name: Third Barton Project (Project to find a replacement
Library Management System)
Project Management Team: Nina Davis-Millis, Joan Kolias, Carl Jones
Report Date: March 30, 2000

Accomplishments Past Period:
- Reviewed 2nd draft of the RFP. We believe we're in the final stages
of editing and should soon be ready to send the completed document
to vendors.
- Revised our timetable for extended demos. We had hoped they
could go
forward before the end of the semester (April, May), but the reality
is we have to navigate both vendor availability and that of our own
staff (multiple conflicts with conferences and vacations). We're now
aiming for the extended demos to begin in July. Key staff have been
notified about the revised schedule and this seems to be the most
realistic time-frame. Our original schedule had some built-in
"padding" corresponding to the June-August months, so we are still
on-schedule. On the positive side, this also gives us more time to
prepare. Our goal under the revised timetable is to analyze staff
feedback and make a decision in August, with contract negotiations
beginning in September.
- Contacted our two vendors for scheduling of extended demos
under the
revised July time-frame.
Goals for the coming period:
- Fix dates for extended demos with vendors.
- Submit final draft of the RFP and mail to vendors.
Key Learnings:
- Having some extra time built into the original timetable
provides us
some much needed flexibility in scheduling the demos. There is now,
however, no extra leeway if we are to remain on target for going
live Summer 2001.
