Project Name: Third Barton Project (Project to find a replacement
for the MIT LIbrary Management System)
Project Management Team: Nina Davis-Millis, Joan Kolias, Carl Jones
Report Date: September 9, 1999

Accomplishments Past Period:
- Vendor demos have all been scheduled. Will start Sept. 21 and run
through Oct. 26. Vendors will come for 2 days. The first day being a more
general overview of the system, the second day they will meet with
additional selected members drawn from a number of MIT's technology
teams from outside the libraries (e.g., Integration team, ) Note, these
are still the first-round demos, more in-depth demos will follow from
a subset of the vendors who survive the first round.
- Meeting with Scott Thorne to talk about the data model has been
scheduled for 9/15 from 10-12a.m.
- Joan and Nina produced a vendor demo evaluation template. We
identified teams based on functioinal areas to prepare checklists for
the templates. The teams have met, identified items for review, and
are currently finishing up their drafts. Staff from each dept. will use
the form to evaluate and comment upon vendor performance in
each functional area.
- Contacted vendors to request copies of their data models and any
additional API documentation that might be available. Not surprisingly,
this is not a simple request given that the vendors consider this
information proprietary. A couple of vendors have already contacted
us and expressed some concern about non-disclosure issues, but are
willing to talk about what we need. One vendor is sending non-disclosure
forms and will provide us with samples of their API documentation, and
are willing to discuss their data model in more detail during the
"technical" session during the second day of their demonstration visits.
Goals for the Coming Period:
- Still trying to set up meeting with Thomas Egan in Purchasing Dept. to
discuss RFP. Have emailed and sent Request for Solution documents.
- Setup meeting with Vijay, Greg, Eric, and Project Management Team, to
discuss the next stages of the project. Preferably before demo's begin,
but scheduling will be tight if that is to happen.
Key Learnings:
- None this session
Team Dynamics:
- None
Issues:
- None
Comments:
- Time to get back into the swing of things after late summer vacations.
