Acquisitions in transition - summary

Because the transition time between the end of GLIS
Acquisitions and the beginning of Advance in live operation
is a bit confusing and definite dates are few, I wanted to
clarify the dates associated with monograph and serials
acquisitions operations.
MONOGRAPHS:
1. As you know, Friday, May 12, was the final day we could
input monograph orders and encumber funds for FY95. We
placed all orders that were in the pipeline.
2. Saturday, May 27 will be the last day we can receive
books and authorize invoices on GLIS. We hope to complete
everything that is now waiting in 14E-210. Shipments will
continue to be received and unpacked during June, but we
will not be able to process them until Advance is live.
3. From Monday, June 4 to Friday, June 16 we will manually
place RUSH reserve orders. All paperwork will be retained
for input and encumbrance when Advance is live. Please send
the usual order information as early in the two-week period
as possible.
4. When acceptance testing is complete and we announce the
live Advance date, libraries should prioritize their orders,
sending the remaining reserve and other RUSH orders first.
SERIALS:
5. Although the end of GLIS doesn't affect serials
ordering, closing the FY95 year on the dBase Serials
Commitments List and beginning a new serials year on Advance
does affect serials ordering. Contrary to what Ellen
Duranceau and I have been saying for the last few weeks, the
Acquisitions Implementation Group realized yesterday that we
could not encumber new serials orders after May 31.
6. All new serial orders that have been received to date
have been encumbered, and the orders will be placed as soon
as possible. Libraries should hold new outstanding serials
orders until live operation of Advance is announced. All
FY96 orders and encumberances will be reflected in Advance.
7. Manual receipt of all serials materials will continue
during the transition period.
