	ASA Fall General Body Meeting  11/1/94  4-270

	Meeting was opened at 19:15 

	Old business: none
	
	Officer Reports:  Rebecca Farhmeier (treasurer) - Activities
Midway went well, don't know about the money aspect of it yet because
finboard is slow.

	New Business: 

		1) Bulletin Board Space Reallocation!   We plan to
reallocate all ASA owned bulletin board space.  If you currently have
bulletin board space, or would like space, fill out a "space request
form" and turn it in at the end of the meeting or in W20-401.   Results
will most likely come out during IAP.
[ Of course I filled out a form. -Gilbert ]

		2) Summer Frosh mailing - 2 issues:   a) Send the mailing
out during the summer, or just hand it out during R/O   b) Should the
mailing be in the form of a bound book or a packet of individual fliers,
one for each group .

	Floor opened to Discussion: 

	
	   Arguements for the Packet:  More space for each group to
adviertise (at least one full sheet of paper, both sides), can make it
colored, fancy etc. , Faster turn around time than book, recyclable, can
keep only the ones you find interesting, arbitrary size, why do another
book?  How to GAMIT already has reference information for all activities.
Packet should be lest costly both in publishing and in organizational
costs. 

	   Arguements for the Book:  Neater, better to keep as a
reference for the future, better organized, less likely to get lost,
looks more formal and significant, used by MIT admissions on recruiting
trips.

	
	Much argument on both sides, people seem to be argueing that
whatever they got as Frosh is superior

	Summer Vs. R/O distribution - nearly unamimous: send it out over
the summer, far too much other junk to worry about during R/O

	Suggestions and Possibilities:  Publish book every year instead
of every 2 years so it is more up to date,  Do both - mail a packet of
fliers from groups (so only incur cost of postage), and hand the book out
during R/O (cost of printing only) so cost should be the same and
everyone is happy.   In response to the  "everyone prefers what they got"
problem : do both for one summer, see which is preferred (most likely
financially unfeasable). 

	Motion by Scott Centurino: "Reccomend that ASA Execboard suggest
pamphlets to Art Smith as the preferred option"

	Motion fails 26 in favor, 31 against

	2nd Motion by Scott: " Reccomend Execboard suggest Book"

	Motion Passes 45 for, 20 against


	Random vote: If there was a summer packet mailing offered, would
anyone not use it?   result: everyone would use a packet if offered.


	Meeting closed at 20:04

us more comprehensive feed back on the summer mailing issue.  IF you
missed the meeting make sure that you fill out a bulletin board space
request form if you either have or want space, and please fill out a

And then the CAC event planning thing followed.  

- I got a nicely printed booklet about event planning.  It contains some
useful information mostly obtainable from CAC.  The most helpful thing it
contains is probably a calendar of when you can start reserving rooms for
what period of the next 2 years.  Will hand this down to the next AVP.

- Lots of irrelevant (for us) words wasted on obtaining alcohol and
entertainment licenses for parties.

- CAC are planning to update the reservation system so that students can
register on Athena.  But it won't be ready for a while.  Same with Schedule
office but their version will have only the "check" feature but not the
"register" feature.
