Project Name: Athletics Discovery
Project Lead: Ayca Darcan
Report Date: 9/13/01
Project Notebook:
http://web.mit.edu/is/discovery/athletics/

Accomplishments past period:

- Scope of the phase 1 of the project is determined as PE
registration systems and reporting, and NCAA Eligibility.
Sports Events Scheduling, Facilities scheduling and MIT Athletic Card
uses are included in the second phase. Evaluations of coaches is also
identied as a future item.

- Timeline for phase 1 is identified with a deadline of end of October
'01.

- Customer needs and wants are listed for components of phase 1. Related
to that, more information is gathered on what the current system does and
does not.

- For peer instituition surveys, criteria to select instutions are
considered. Universities to be contacted and questions to be used are
determined.

- Identified educational institutions are contacted by phone. Based on
the result, some other instituitions are identified to expand our search
and some already-contacted schools are identified as to further survey.
This effort is still continuing.

- A software package from NCAA for eligibility management is being
examined as a possible solution.

- AthleticsBusiness web site is being searched for other third party
software solutions for Phase 1 components.

- As one of the possible solutions, integrating Academic subject
registration system and PE registration system is searched in terms of
high-level IT components and main business processes. Existing PE
registration systems is drafted in a basic schema. More information
is collected on existing Academic subject registration system
components.

- Scenarios for final report is being collected.

- Institute-wide Student Information Systems (SIS) software solutions and
their applicability to this discovery project's first phase is
discussed.

- Met with Mary Callahan to discuss possible solutions, approaches to
work in a more integrated fashion.

- The effect of the future SIS solutions project going on at the same
time with this discovery project is being considered.

Goals for the coming period:

- Complete school surveys, organize and record data collected.
- Complete searching NCAA software as a solution for Eligibility
piece.
- Learn more about the MIT's Eligibility component and needs.
- Look more into third party solutions search and structurize this
search.
- Consider alternative solutions aiming more integration with existing
systems such as HASS-D lottery, integration at different levels (not
process-wise but database integration etc).
- The effect of the future SIS solutions project going on at the same
time with this discovery project needs to be further discussed.
- Discuss some PE process changes and their possible effects such as
different timing for registration.

Issues:

We can use more people in the core team, with IT background to help
searching technical specifics of third party software solutions, other
schoolss implementation and existing systems integrations.

Key learnings:

Data collection from the peer institutions and third party software
solutions is still continuing.
The result of this will also determine some of further steps.

Process-wise integration of academic registration systems and PE
registration systems did not look very useful. Integration in different
levels and ways will be considered.

Team dynamics:

Lynn Couturier, new PE Director, joined the team.
