Accomplishments past period:
- Set regular meetings with the project sponsor Candace Royer, set core team
regular mtgs.
- Finalized scope of the discovery project, put the final version to the web
site.
- received the priorities of the scope items from project sponsor
- Identified John Benedick as the Athletics member in the Discovery core team.
- Identified Athletics internal contacts and also non-Athletics MIT groups to
be contacted.
- Mailing list is set up.
- Met with Athletics group on 7/12.
- Met with Academic Resources Center on 7/17.
- Had phone conversation with Meredith Walsh from Freshmen Adm. on 7/16
- Met with Mary Weisse from DWH on 7/19
- Met with Steve Turner for Events Calendar on 7/19
- Met with Sandy Lett from Athletics main EMS user on 7/20
- Tried to set a bunch of mtgs with no success --> vacation time!
- Met with JoAnne Stevenson to learn about web based pre-registration system
Goals for the coming period:
- start initial requirements and recommendations report.
- consider phasing the scope items given the resource available and time
requirements for the project
- work on forming the core team
- set mtgs with Registar's Office, MIT Card Office, CAC, Conference services,
Alumni Office, E-Cat, Freshmen Admissions.
- check EMS server/cllient/network status for performance
- check for 'sports scheduling' on web for different product and solutions
- check different facilities scheduling solutions, includind web-based new EMS
version
- check Athletics existgin intercollegiate scheduling system
- have a closer look to existing Data Warehouse data fields and also reporting
needs of Athletics to determine roughly the effort required
Issues:
Core team is still forming.
Scope is large.
Key learnings:
Scope is: PE Registration system, MIT and national compliance requirements, PE
Lottery process, facilities reservation, Athletics Cards, PE Reporting system,
intercollegiate contest scheduling.
EMS (facilities scheduling software) looks fine, the only major complaint is
the speed.
MIT Card office does not acccept on-line data updates, as it is not on an
secure system.
Athletics would be comfortable if registration is handled out of their office.
They also think of dropping lottery system. They would like to reduce the
number of software they deal with and also open to web-based products.
Data Warehouse may be a solution to Athletics reporting needs.
Events Calendar is not a solution for reporting intercollegiate contest
information- it does not accept direct data transfer from other systems and it
provides read-only data to people who access.
Team dynamics:
Joanne Hallisey joins as the new advisor in place of Tim, John Benedick and
Jean Heiney from Athletics as core team members. The IT support person
to-be-hired for Athletics can join the core team later as well.
