Scopus Implementation Meeting October 01 and 02, 1996
Attending 10/01: Goguen, Lee, Ragone, Pakulat, Rosato, Smyser,
Sousa, Wade, Yanow

The two meetings accomplished the following:
1. Training Guide Update
2. Training Format Review
3. Schedule Review
4. Release 1.0b7
5. Technology Transfer
6. Brio Query demo
7. Roundtable/Status/Action Items

1. Training Guide Update
Esther handed out the latest version (#5) of the training guide. Rob
and Esther have generated a more concise document. Esther would like
feedback from the team.
Outstanding issues include:
- Need Lynne to talk to Larry and Netinstall staff to determine
if greater information is needed for the training document with
regards to netinstall. Feedback will be given to Esther after
meeting.
- Lack of searching on Housecall (and other child) windows was
identified as a tip for the document.
Final release of the document is due on October 4th, end of day.
I believe we said that 60 copies (via Grapics Arts) would be made
and an electronic version published on the Web.
2. Training Format Review
Outstanding issues from last week:
- Inform Alicia of student testing (Lynne)
- Obtain room reservation with projection system (Lynne)
Agreed on following format for 10/8:
- 1/2 hour for formal "clean" presentation on basics
- 1/2 hour hands-on testing using outline from Peter Lee.
This will be conducted in 11-226, 11-221 and the training lab.
11-15 Windows machines are possible using this configuration.
- Tooltime staff members attending should be available for
consultation via "walk-through".
- Peter Lee will help coordinate students into proper "groups"
Concerns:
- Two people to a machine will facilitate the activity
of the participants, more people lessens the efficiency.
- Busy week, hiring and training (via Filemaker?) of new
consultants. The timing presents transition concerns.
- Is this enough to begin using the system on 10/15? Can students
learn the software at other times?
- Who does the training. At this time, appears to be "committee"
3. Schedule Review
There was a strong discussion on the following points:
- How do we know when the application is ready?
- Who should be involved in the final testing, who has input?
- Who determines the rollout schedule, considering there is an
impact on the current queue, and need for training?
The discussion was broken down into three separate issues:
1. The need to test 1.0b6 to ensure it met the agreed changes
2. Releasing 1.0 and the process (e.g. acceptance testing) to
make this happen
3. Determining a release date based on the availability of
a 1.0 release and understanding the impact on the Help Desk.
The meeting agreed on the following:
1. Release 1.0b6 would be tested on 10/2.
2. Rollout schedule needs a date for planning, for now, October 15
is the planning date, subject to review.
3. Acceptance testing will be conducted to make go/no go decision.
Students and staff who participate in the acceptance testing will
be required to have completed the training.
4. Acceptance testing will be a random sampling of students and will
be based on two groups of three students.
5. Student acceptance testing will be done in 16-720, 2:00 pm
6. October 10, Staff acceptance testing
Acceptance testing is determined as follows:
1. Objective: Answer "Can I do my work", discover major problems
2. Deliverable: Document describing a go or no decision and
delivered to sponsor, Bill Hogue.
3. Participants: Random sample students, more selective staff to ensure
Netinstall and Housecall are included.
4. Criteria: Perform major Help Desk functionality, including
accept calls, enter data, search, annotate existing logs.
5. Schedule: October 9th for student, October 10 for staff
Agreed to alter the schedule (see first draft email 9/30) as follows:
Mon Oct 7 - Migrate test environment to production
Wed Oct 9 - Added Student Acceptance testing in the afternoon.
This would consist of 6 random students from the Help Desk area.
Fri Oct 11 Noon - Meet to make go/no decision on deployment based on
acceptance testing
Wade will generate a new schedule for review. The time of the testing,
format and release date is subject to continual review and adjustments
as needed.
4. Release 1.0b7 Slated for Friday 10/4
Wednesday, October 2, the team tested 1.0b6. There was no notification
that 1.0b6 did not meet the changes agreed upon.
Terry Arnett planning to spend one and a half days, specifically to
help with Macintosh Issues.
Lynne will work with todo list to complete 1.0b7 on Friday 10/4.
Current status as follows:
Done
- Reduced time to load upon login by 50%
- Fixed record locking within callbacks/backfill
- Removed My Locks Button/Function
- Improved screen ergonomics for Macintosh and Windows
- Fixed History Search
- Resolved Print problems on Macinotsh
- Hid Clipboard button on Macintosh
- Fixed Macintosh Child Windows, including scrolling
- Added Message of The Day to the Help Desk pull down menu
Todo
- Resolve motd save problems
- Continue to improve screen ergonomics (e.g. white space and
evaluate display on three platforms)
- Finish File -> Exit menu/function
- Change Status of Unseen to New & update Tcl
- Remove Data Probe from pull down menu
Problem Needing Resolution
- Macintosh text saved loses new lines on Windows
5. Technology Transfer
This item was tabled due to lack of time. Tom, Lynne and Wade will
convene prior to the next team meeting to write a document on
to plan technology transfer activities and timeline.
6. Brio Query demo
This item was tabled due to lack of time.
7. Roundtable/Status/Action Items

Wade:
- Terry Arnett arrival expected noon on Tuesday 10/1. One and a half
day stay to focus on Macintosh client issues (Child window problems,
printing), record locking and performance (reduce login time).
- New issue numbers with scopus:
23142 - Mac text problem, loses new lines when displayed on non Mac's
21009 - InformTEAM, Terry called this in to Melissa.
- Not previously record in the minutes, to launch the Solaris client,
"add tooltime; start_scopus" will connect to production database,
"add tooltime; start_test" will connect to test database.
- Schedule concerns:
- Filemaker "data" cleanup, e.g. "Eudora" or "Eudora Pro", etc.
- Force password changes on existing accounts
- Timing on actual rollout date after release 1.0 is ready
- Increased testing against production database, including
development tools (e.g. design team) would be helpful
ACTION ITEMS:
- Check with Scopus on availability of fixed Macintosh client
- Complete database changes needed for release 1.0b6
- Refine SLA with Facilities Management on production machine and
coordinate loading of Scopus software on the production machine.
- Confer with database services to install SNS on test machine after
production release. After initial testing on test, migrate SNS to
production machine.
- Automate warehouse feed
- Begin post release 1.0 "todo" list to ensure stability
- Continue with technology transfer planning
- Write architecture document
- Obtain ScopusWorks and latest documentation on InformTEAM and
SupportTEAMplus (a.k.a Scopedia)
- Work on rollout schedule
- Need to make following database changes:
- Netinstall table - room number field too small
- mit_lk_hardware field too small in mit_logs table
- Filemaker data has lastname, firstname switched, need reload

Rosen (via Wade):
- Submitted response to Scopus on InformTEAM issues (8/29). Brett
sent a clarification of the Scopus response, but Scopus closed the
log.
ACTION ITEMS::
- Follow up on InformTEAM. Terry Arnett pointed out that we had
outdated documentation, Wade to follow up. Terry submitted a
call to Scopus, Wade and/or Brett to follow up on issue number.

- Completed 1.0b6 on Friday 9/27
- Working on 1.0b7
ACTION ITEMS:
- Complete release 1.0b7 on 10/4
- Lynne will complete the Programmer's Guide with the latest 1.0b5
changes and send back to Esther. It should then be complete and
ready for the Web.
- Need to modify client software (preferences) on deployment to
extend 500 result limit to 1,000. Current pending queue in
Filemaker is around 750, thus forcing change.

- Installed Brio Query and connected to database. Beginning to
learn tool and compare it's functionality against the list of
reports generated during the requirements phase.
