How to include screen captures in word documents efficiently?

When making customizing and user documentation the nicest thing is to do
printscreens and paste these into a word document. However each printscreen
represents almost 0,5 Mb which results in very large files that block
printers and networks.
Do you know a way to capture screens or part of a screen into a word
document without exploding the filesize?
I think this is a problem that a lot of people have encountered.
Any suggestions are welcome
