Dear Colleagues,

Facilities is asking for your help to keep our hallways clear of clutter. To make this proposal more inviting, Facilities has suspended disposal costs for items over 50 pounds. Through the fall of 2012, there will be no cost to remove any items including white goods. After December, Facilities will reassess the program and may continue the free service.

Please submit a work order through SAPWeb if you have items that need to be removed. We are especially interested in items that are now in a hallway, but will take any items including those from your office or lab.

Dispose of items properly
Prior to removal, contact the Property Office to deactivate any electronic items. Delete contents from computers. After that, go to the Building Services tab in SAPWeb to initiate a pick up.

Building Services tab in SAPWeb
Use the Recycling & Trash tab. Under "Products/Services" click on the box for Bulk Trash/Recycling Pickup. Enter details in the "Special Instructions" section. For example, list the number of items for removal here. A Work Order will be generated.

Turnaround time on request
Your request will be taken care of as soon as possible. The goal is to have items scheduled to be removed within 3-5 business days. However, depending on the volume of pickups, it could take longer. The Recycling Program will work with you to let you know when the materials will be picked up.

Eliminate abandoned materials in hallways
Clutter in passageways causes several issues in addition to being unsightly. It creates a safety hazard that could hinder emergency responders who may not know their way through a building.

Unclaimed items in halls
Beginning in mid August, Custodial Services will collaborate with our Customer Service Center (CSC) on collecting information on items left in halls. Our Custodial Services supervisors will tag and photograph items that appear to be abandoned. The CSC staff will email a photo of the item to our contacts in that particular building to request information on the status of the item. If no one contacts our Customer Service Center staff within 30 days, the item will be designated for removal.

Help us help you to keep MIT safe and clutter free. Please contact me if you have any questions about this process or program.

Regards,
Ruth
