General
-------------
We sent the sample data files to Ex Libris at the beginning of the 
month.  We are now working with Ex Libris staff on the conversion 
process.   So far we have received our bibliographic, authority, and item 
data.  Our other focuses are preparing for testing the converted data, 
training, and the design of the web OPAC.

Accomplishments in February
-----------------------------------------

Data Conversion:
-- All sample data files sent to Ex Libris.
-- Conversion training received Feb 6-7 in all modules
-- Plan for testing converted data in place
-- Test/problem reporting forms developed and distributed to functional teams
-- Data maps developed for serials data, items data, and acquisitions data
-- Some testing has begun on bibliographic records and items.
-- Clean-up list for cataloging sent to Ex Libris for review

Production in ADVANCE:
-- Dates for freezing production in ADVANCE have been determined.
-- Dates communicated to TSAC, the project team, and Eric Celeste
-- Preliminary planning for interim period has begun

Server set-up:
-- Oracle and ALEPH installed on grammy
-- Conference call held between ASST, libraries, and Ex Libris to clarify 
expectations and improve communication (see Key Learnings below)

OPAC design:
-- Usability testing on the current web Barton and other Ex Libris sites 
completed (including testing at the ATIC lab)
-- Initial design of OPAC pages begun
-- OPAC group has begun to address the issue of frames vs. no-frames

Training:
-- Training plans for both the GUI OPAC and the web OPAC have begun under 
the coordination of Nina Davis-Millis
-- HTML customization training held Feb 1
-- Most functional teams have determined training coordinators and staff 
for the 'train the trainer' sessions beginning in March
-- Scheduled Acquisitions and serials training in the Learning Center

Communication plan:
-- External communication plan taken to Public Services Management Group 
for input

Misc:
-- Clients installed on machines in library training room
-- Clients installed on machines of staff involved in testing and training
-- Received file from Notre Dame of publication patterns and ran against 
our file.  There is about a 30% match rate.

Goals for March
--------------------------
-- Complete testing of converted sample data by March 30
-- Initial plan for testing full test database in place
-- Training plan for staff modules completed
-- Extraction of data for full test database begins at end of month
-- Meet with Paul Page to discuss testing of SAP feeds
-- Meet with heads of user groups to work on implementation of 
communications plan
-- Clean-up list reviewed and updated as to when clean up should occur 
(pre-, during, post- migration)
-- Make decision about the frames/no-frames issue for the web OPAC
-- Work with Kathy Cahill to conduct usability tests on the staff client
-- Receive and review McGill publication pattern file
-- Receive the EXU data for training purposes
-- Departments begin to work on workflow issues
-- Clients installed on machines of all staff trained in modules
-- Cataloging training March 6-7
-- Cataloging for serials training March 8
-- Systems Librarian training March 13-14
-- Systems Administration training March 20-21
-- Acquisitions training March 27-28

The Project Team is doing well!

Key Learnings
-------------------
Again communication is a key element to the success and tracking of the 
project.  Also important is the clarity of expectations.  The lack of clear 
communication and expectations led to the need for a conference call 
between the libraries, the ASST team, and Ex Libris staff to discuss 
installation and maintenance of the server.  A thank you to the 
Administrative Servers Services Team for their patience and help with this 
bump in the road.
