This is the first delivery report for the Third Barton Transition
project. The project description can be found on our project web page, but
briefly, we are migrating from one integrated library management systems
(Geac ADVANCE) to another (Ex Libris' ALEPH 500). Our largest challenge is
the short time frame for completion (we expect to switch to production July
1, 2001)
Accomplishments in December
-----------------------------------------
-- Contract signed with Ex Libris for the ALEPH 500 system
-- Project team formed and held initial meetings in preparation for
kick-off meeting with Ex Libris staff
-- Project web site up
-- Kick off meeting held on December 18 with Project Team and Ex Libris staff
-- Functional teams formed; most teams met after kick-off meeting
-- Sun server ordered
-- Eric Celeste and Sarah Shreeves met with Bob Ferrara to discuss the
delivery process and discuss the role of IS in transition process; Sarah
and Christine Moulen met with Bob Ferrara and Joanne Hallisey to further
discuss the project, feeds, and IS support.
-- Joanne Hallisey agreed to be a coach to Sarah on project management issues
-- Sarah, Eric, and Nina Davis-Millis met with Kathy Cahill to discuss
accessibility issues. It was agreed that Kathy would work with staff
during the testing phase when clients have been installed to assess
accessibility. Further Sarah will work with Kathy and Ex Libris staff
around accessibility issues and the web OPAC.
-- Systems analysis meetings (Jan 3-5) scheduled and prepared for through
filling out configuration questionnaires and preparing our own questions
for Ex Libris.
-- Documentation placed on CD server in library systems office for staff to
access.
-- Indexing and holdings strike forces formed
-- First Third Barton Transition newsletter sent to library staff
-- Sarah met with Donna Hirst and Larry Woods of the University of Iowa to
discuss their transition process to Ex Libris
Goals for January
-------------------------
-- Systems analysis meetings held (Jan 3-5) in process!
-- Work breakdown complete in early January
-- Risk management analysis complete in early January
-- Training plan complete for staff modules
-- Communication plan for MIT community in place
-- Functional groups give sample data to Christine by Jan 9
-- Sun server and ALEPH software installed
-- Establish contacts and have initial discussions with IS staff who will
be involved in project
-- First pass at all configurations completed by Feb.1
-- 50,000 sample records extracted by Feb. 1
-- Training for Systems Administration (Jan 24)
-- Training for Systems Librarian (Jan 30)
-- GUI OPAC training (Jan 31)
Key Learnings
---------------------
-- Talking to stakeholders on a one-on-one basis has been useful in both
gathering information and gaining support for project.
-- It has been very helpful to draw on expertise from other areas of MIT
(project management, accessibility issues, etc)
