Minutes of ExecComm Meeting, January 18, 2000
Administrative notes:
~~~~~~~~~~~~~~~~~~~~
Start: 7:40 pm; End: 8:30 pm Present: Krista, Ian, Sam, Carolyn,
Katherine, Ellen, Foley, Oscar, Ari
Officers' reports:
~~~~~~~~~~~~~~~~~
SVP (Sam): We had ServComm yesterday, and we now have a Big
Screw PC [David McIlroy], and he has been cluedumped. Please
help out with Big Screw sub-PCs. We also talked about doing
service with other chapters. I spoke with a guy at the Cambridge
Park Bureau and got phone numbers for the parks around MIT.
We might be able to do some projects there.
MVP (Ann Marie): (not present, channelled by Carolyn) Come to
open meetings. They occur:
Wednesday, January 26 at 5:30 pm
Thursday, January 20 at 7:00 pm
Monday, January 31 at 7:00 pm
Wednesday, Febuary 9 at 7:00 pm
FVP (Joe): I have a bigger TV that I will bring into the office for
movies, if the one in the office is not big enough. David and
I are PC'ing Steak Fry, but we still need PCs for Semi-Formal
Formal (March 11) and I-Banquet (May 12). I couldn't make it
to the past Friday night dinners due to sickness and conflicts,
but there will be a Friday lunch this week. Bring food. It will
be at noon. Eat! We will do Chapter Weekend with WPI. A
brother from the CMU chapter will be visiting. Her name is
Jocelyn Tate, and she is excited about her involvement here.
Treasurer (Oscar): We have some money, I think. Tonight I will
set the deadline as the 30th for the past two Treasurers to close
their books. Money for the new office fund will be allocated.
AC (Ian): Sara P. gave me a cluedump, and Carolyn took me up to
CAC. I submitted the forms for Book Ex, Big Screw, and rush
drop posters and for the Lobby 10 table for Big Screw. CAC did
not take the UMOC forms because it is still too early for them.
I got the open meeting rooms and ExecComm Meeting rooms
except for May 9 [Joint ExecComm]. As for Chapter Meeting
rooms, the Schedules Office gave us 1-371, but I'll try to get
something else; they don't let student groups reserve the con-
ference rooms on the fourth floor of Building 34. For the Friday
of Spring Book Ex, another student group has reserved Mez-
zanine Lounge starting at 5:00 pm, and the CAC is contacting
them about the possibility of switching to another room. Part
of Fall Book Ex is blocked by Orientation. I have not managed
to reserve Steak Fry yet and will try to do so.
APOcEd (Nitin): not present (in India)
OM (Oscar): There will be an Office Project this Saturday. E-mail
will be sent by tomorrow. My master plan is to turn the wall
with the Coke fridge into a cabinet-wall unit. The office is not
quite a [expletive deleted] mess. The tools and press area of the
back office are hazardous.
PubDir (Ann Marie): not present
Historian (Ari): I'm looking for the list of actives from last term.
We're having a project.
Advisory Comm. Chair (Ellen): Hi.
President (Carolyn): We have this chapter. We have brothers. This
is good.
Committee report:
~~~~~~~~~~~~~~~~
Book Exchange Committee: (channelled by Carolyn) We had a
meeting today on automation. It was good. Emily asks for help
from people with computers or computer clue. Two computers
are needed, preferably laptops.
Foley: I have two laptops.
Spring '99 Treasurer (Sam): I'm closing my books (really)...
President (Carolyn): [wields gavel at Sam]
Regionals Report (Carolyn): People went. We had fun. There
was a meeting, with three major conclusions:
o Either Region I or both Regions I and II (forget which) would
like to raise funds to buy fireproof cabinets for Nationals to keep
their fragile documents.
o Cheryl Smith, Region I Director, is stepping down in a year.
o We voted to award a Regional DSK to Melissa Locke (University
of Maine at Farmington Chapter), chair of the Regional Commit-
tee.
Old Business--CPPC:
~~~~~~~~~~~~~~~~~~
President (Carolyn): We didn't really have a CPPC at Afterfinals.
We need to schedule one. Please tell me when you can't make
CPPC really soon now.
Oscar: Perhaps we could have it the Friday before Registration Day?
IAP classes would have ended by then.
New Business:
~~~~~~~~~~~~
Fourth Floor Security:
~~~~~~~~~~~~~~~~~~~~~
President (Carolyn): Anna Benefiel sent an e-mail to MITSFS and
APO about a meeting on security on the fourth floor of W20.
With regard to the recent incident, she says no master key was
involved; instead, she got a CAC worker to let her into the APO
office. The CAC manager is making sure the workers check for
identification etc. before they open doors for students. In the
past the ASA has looked into rekeying the locks. I'm leaning
toward rekeying our locks, then dealing with key distribution; if
you have any strong opinions, come talk to me. Anna suggested
that we get a combination lock for our door.
Advisory Comm. Chair (Ellen): MITSFS has been having prob-
lems with cash theft also for the past few months.
Appointed Chairs:
~~~~~~~~~~~~~~~~
President (Carolyn): We still need a Food Chair, a Transport Chair,
an Alumni Liaison, and a Ride Board Chair. Please offer sugges-
tions; people who don't have officerships are especially encour-
aged to volunteer. The list of System Administrators is also
getting refreshed. Talk to Oscar and me if you are interested.
Conclave:
~~~~~~~~
President (Carolyn): WPI will send someone here to advertise their
Conclave either the first or second Chapter Meeting. Emily is
the chair of the Conclave Committee for the Spring 2001 Con-
clave here. If you are interested in helping out, talk to Emily.
Advisors:
~~~~~~~~
President (Carolyn): We should get to know our advisors and refresh
the advisors list. If you know anyone (especially faculty) who
would be psyched about becoming an advisor, please talk to him
or her about it.
Oscar and Ari: We suggest Prof. Gil Pratt.
People have suggested advisor lunches or even teas for them to meet
the chapter. Perhaps Friday lunches will work as well.
E-mail Lists:
~~~~~~~~~~~~
President (Carolyn): There are apo-news and apo-announce. The
former may have too much traffic for prospectives or people who
are sort of interested in the chapter. Currently the latter is not
being used.
Historian (Ari): apo-announce was intended for once-a-week low
traffic announcements.
Advisory Comm. Chair (Ellen): We could either let apo-announce
be a digest of apo-news, or drop the list since it is too confusing.
President (Carolyn): apo-news is quite public. Perhaps some sensi-
tive material should not go there.
Oscar: Let's refer it to a committee.
Other:
~~~~~
Sergeant-at-Arms (Ari): The pledge requirements and the pledge
program need to be approved by ExecComm. Since we don't
have it here right now, Carolyn or Ann Marie can e-mail it out
for ExecComm approval.
Announcements:
~~~~~~~~~~~~~
Carolyn: Come to Dexion Fun tomorrow at 7 pm. We will have our
photo taken by Technique. You'll learn how to build stuff with
a life-size erector set.
Sam: Chapter Weekend I is during the Presidents' Day Weekend. We
will have destruction projects at Camp Knobscott. Maybe WPI
will be there. Tell me if you want to PC.
Carolyn: Come to Movie Night this Saturday, PC'ed by Lokie.
Carolyn: People should PC projects.
PFTGOTO:
~~~~~~~
Foley: My truck is covered in salt.
Sam: Cold places are cold.
Foley: We have a virtual Laura.
Carolyn: People should do stuff. Really.
Foley: Blow [expletive deleted] up.
Oscar: Bouncy bouncy SQL bouncy.
Foley: It [the datebook] crashed.
