the second CAPS meeting.

CAPS 2009-01-14

Attendence: Liz deRegt (ederegt), Sarah Lehmann (slehmann), Amy Hailes
(ahailes), Catherio (catherio), Liz! Power (epower), Melissa Gymrek
(mgymrek), Kristen Kuhn (kkuhn), Sophie Monahan (sophical), Xavier Jackson
(jaxxson), Piper Hunt (wings), Ellen Kranzer (ccrazy)

>>Rush:
This year, Kristin and Liz! will run it. In the future, want a separate
person (elected or chair). We want it balanced between service and
fellowship. Looking at the current list of events, it's weighted towards
fellowship.
One problem is it's hard to do lots of off-campus projects during the week.
Can we find projects? Past weekday projects: Cradles to Crayons - sorting,
got to chat and meet brothers. Prison books - good during the week, like
groups coming in. Energy Retrofit project (S09). Caspar, but that takes a
smaller group of people.
A local alumni event? Try and get them involved. Yes, alumni aren't as
involved, but it would be great to have them around. If we want them
involved, we need to contact them early (i.e. for this spring, we would need
to be contacting them now). Also, they're busy on weeknights. Encourage
alumni still in the area to come by for one or two events - recruitment
dinner, black morbid, a service project?
We need to contact Jessy & Ash about tools demolition.
Do we have enough people to cover all these projects? We can't run this many
events if we don't have the manpower. Kristin and Liz! will send out sign up
sheets once there's a firmer schedule.
We should also reach out to inactive brothers.

We're making a mailing list to discuss who we've talked to about APO and for
encouraging each other.

>How to recruit more guys?
Have a Superbowl party! It's Feb 7. We can have it in Talbot and grill. Amy
will PC it, contact her.
The number of guys in APO right now is increasing; we don't need to worry,
but we should keep it in mind.
West Campus people?
Can we have events on West Campus? McGregor has a small courtyard; when we
used it for S09 Spring Fry, people complained it was cold. Is this
effective? Well, it's closer, and it takes less activation energy.
Brothers who live on West Campus should try and recruit people in their
dorms.
Do we have an image as an East Campus-like student group? Do we need to
think about changing our image?
>Grad students:
Contact through course administrators
Make sure grad students know that we allow grad students in Alpha Chi.
If grad students were in APO as undergrads, they might be interested in
joining as grad students (but we don't actually have a way to find these
people, but it's something to keep in mind).

>Talking to pledges:
Good things to say: requirements are the same for pledges and brothers. You
get more out of it the more you put into it.
Don't downplay the amount of work.
Don't say "you should join" if you don't know the person already. It puts
pressure on them to decide. Ask if they want to find out about events,
encourage them to look at the WUAPO.

>Publicity for Rush Week:
Hanging banners in W20
Postering
Signs on doors (in dorms)
cards with events

>How many pledges do we want to aim for?
10 new pledges, plus continuing.

>Fall vs. Spring
Reg Day - for fall, talk to Wayne about getting Reg Day cards included in
freshmen packets
Spring - can take advantage of less groups rushing

>Big/Little
Start thinking of reveal ideas now!
Bigs & littles will all fill out surveys and get some say in who they get
Go on at least 2 projects with a little.
Pledge project!
APO study hours - encourage people to go to the office and tool, Sarah will
bring cookies
Big/little dinners - start talking about them at the beginning of term,
because schedules can be difficult to coordinate.
Big/Little - events with partner games? Something with more interaction.
Possibly another big/little event midway through term to check in. Could be
PAM? (i.e. split Big/Little reveal and PAM)
Add knowing how to use the locker to pledge requirements.
Perhaps add writing something for the APOC? It would be required for both
pledges and brothers.

>APOC - having theme issues are a good way to get people to write. We'd like
to have more things written for the APOC, because everyone likes it, but we
can't keep it going if people don't contribute.

>Focus of Pledge Meetings:
1st - Welcom, Service, How to PC
2nd - Check up, how to navigate locker
3rd - Chapter history
3rd - National history
4th - Chapter skills

>Pledge Ceremonies
Read through/practice ceremony some time after a meeting so that we know
what we're doing.
There was some discussion about having

>No laptops during open office hours during rush - we want people to talk
and interact, not have their faces buried in the laptops.
Is this a problem during the rest of term? It can be offputting to walk into
the office and see everyone sitting there quietly and not socializing. On
the other hand, some people like to work quietly and have people be around.
It's something to keep in mind, either way.

>>Service

> Skills

Teach, learn, practice - some skills need more specific guidelines for what
it means to practice a skill.
Chairs of chapter skills should come up with the requirements for their
skill

First Aid/CPR
If people are interested in this, it should be available. Liz! thinks
there's a way to coordinate with MIT Medical to organize training - that can
be the job for the Chair. CPR doesn't seem as useful as a chapter skill.

We talked last CPPC about adding more skills - balloon animals, tutoring,
tent pitching, Boy Scout survival skills.
Tutoring is long term, which isn't as much in line with what we do.
Sewing could be expanded to include knitting and crocheting.

>Visible service
Be more visible as part of APO while doing service e.g. CRC has a huge
poster/sign they put up near their truck when they're by the Charles River
so that people driving by know who they are.
We're on the PSC list.
We could meet somewhere not the office, i.e. on the first floor of the
Student Center.

> Rideboard
Is it our space? If we get rid of Rideboard (because it's not being used),
what do we put there? We think it has to be something service-oriented, not
publicity.
We could put a map of campus there. A list of lost and found items? Have
cards to put there where people can write what was lost/found and contact
info.
Other ideas for that space?

> FUP
It's the community service oriented pre-orientation program. We could talk
to them about the possibly of us helping lead a project with them.

> For-campus service
We should do more of it! We currently have printing, silk screening, drop
posters, general helpfulness with volunteering. We should publicize what we
have more. Someone thinks it can be boring - response is that it's more fun
in a group, even if in the case of printing when you can't always talk. A
general advertising campaign would be great; word of mouth is okay for silk
screening, we'd like a bit more advertising for printing and drop posters.
If it has lots of brothers (>3) and is service, it can be counted as a
service project.

>>Brotherhood

> Fellowship events
SFF? It's hard to find people enthusiastic about it. Having it be mandatory
isn't helping either. It could be interchapter. It's different from Steak
Fry and I-Banquet because it's so open-ended - is being so open-ended making
it harder? People are enthusiastic about a more formal event. Encourage
people to bring dates/guests.
Have a dinner, have dancing and/or games after.
Need more consistency from year to year?

> More hanging out in the office
Tooling in the evenings in the office; games, hanging out, etc. Having
weekly small fellowship events.

> Membership retention
Being together more will help people stay involved. More individualized
attention - connect with people, keep an eye out for each other. Use
big/little relationships.

> Interchapter Events
BU Chapter - we have contact with them, we just haven't gotten around to
concrete plans.

>> A Review of Last CPPC:
PCs of things like HMMT

Pledge Class Namesake
> UMOC - we had considered getting rid of it because it's been smaller and
people weren't as excited about it. This term it went better, but people are
still uncertain. We want to evaluate it before we do it this fall.

> Citydays - That went well this year. We got frosh at the Midway who knew
our name from there.

> AX 75 Reunion
Kristin's currently in charge. Add yourself to apo75@mit.edu if you want to
be involved. (It's next year.)

> Chapter book
If we digitize it, maybe people would read it! We want this to happen, but
someone needs to be in charge of it. Then people can also add things to it
more easily. Liz% will email out about that.

> Advisors
We need more institute advisors, so please think if you know of any faculty
member who might be interested. Also, we want to be in touch more often with
Kim Vandiver - have an Exec member meet with him every couple weeks, invite
him to lunch in the office, something like that.

> Alumni
How can we get alumni who live close by to be more involved? We could have a
specific project that we really encourage alumni to come to, they might be
more willing. There's a balance to how much alumni want to come back - they
don't want to step on the toes of current brothers', so they'll limit how
much them come back.

> Website Committee
We could talk about it at a chapter meeting, but it would be good to get
things started before then.
