Day 1: Review and Goals

We started by thinking about the past year and coming up with a list of
topics we wanted to think about for the next year. We then organized them
under the headings of Service, Pledging/Recruitment, Brotherhood, and
Miscellaneous. Here's what we came up with (plus some notes from discussion
about certain topics):

We then talked in depth about how to keep track of brother and pledge
requirements, the names of the positions (BVP/PVP), and the national
Programs of Excellence awards.
Keeping Track of Requirements
Keeping track of what requirements each person has fulfilled will now be
part of the Historian's job in addition what he already does. These won't be
public; only the individual brother and the Historian can see a particular
person's record, except that the PVP can see what the pledges have done.
There was some discussion over whether the other VPs should be able to see,
but we decided against that. Some thought it would be nice if there was some
sort of public recognition for people who completed all the requirements;
suggestions included an announcement at a chapter meeting, a certificate, or
a dinner.
Names of Positions
We ended up choosing PVP over MVP or Pledgemaster and clarifying that the
PVP is just in charge of pledges. The Historian will keep track of
requirements for everyone and the BVP/FVP is in charge of fellowship events
and general well being of the chapter. There was no clear preference for
Brotherhood or Fellowship VP among the people there - there were a few on
either side and some who were undecided. We need more input from members who
weren't at CAPS regarding FVP vs. BVP.
National Programs of Excellence
We read through the requirements for both the Chapter of Excellence and
Pledge Program of Excellence awards, which are on the national website. In
both cases, we do many of the requirements already and merely need to get
our paperwork in.
For Chapter of Excellence, we need to think about orientation and training
for officers and advisors, a financial audit, publicity, and doing projects
in all 4 fields of service. For advisors, we could have lunch together as a
social event to get to know them better. We would need to schedule in
advance and work around their schedules. We possibly need more active
faculty advisors. We have the minimum number, but it would be nice to know
them better. For the financial audit, we should talk to SAFO and see if we
can get a copy of theirs, but we might need to do our own that's more in
depth than the general MIT one. For publicity, we should talk to the MIT
News Office about press releases. For the 4 fields of service, we realized
we probably do have them, depending on how you look at certain projects.
For Pledge Program of Excellence, we have pretty much everything except that
our pledge term is longer than the norm - we're at about 12 weeks, they want
6-10 weeks. We often have lots of projects at beginning & end of term, but
not so many during the middle - can we change that? It would also help take
pressur off everyone at the end of term, when trying to fit in enough
projects to complete requirements runs up against academic pressure. A
midterm check to see how things are going might help, but ending early would
be less accurate in terms of keeping track of what people do during term. We
also don't want to end early because people who aren't being elevated might
stop coming for the rest of term, and we don't want to lose them. Even
counting from pledge ceremony to neophyting is 11 weeks, though it might
work if we just report the second pledge ceremony, which we've done before
anyway for ease of reporting.
