Minutes of Chapter Meeting (March 3, 1993)

*Administrative notes:

Start: 7:03 pm; End: 8:04 pm. Present:
Ping, Kate Curtis, Kevin Dahm, Elizabeth Ditchburn, Sara Verilli, Joe
Kuchta, Yale Zussman, Tracy Vogler, John McClain, Jen'n Schwartz,
Henning, Traci Williams, Bridget Spitznagel.  Ann, Ezra, Jerry, Dave
also trickled in.

*Officers' reports:

*SVP's report:
Saturday's project is a Mystery Project.  Saturday's PC is a Mystery
PC.  Don't you like the thrill of surprise...  The week after is
Sara's project on AIDS awareness.  You should all come.  It will take
about an hour, I don't know what time it starts.

How many people will be here for spring break?  (About six) Scott
Higdon is PCing the Ride Board then.  (Ping explains: we're building a
new bulletin board with a cabinet, to go in the student center.)

Right after March we have Big Screw.  Last weekend was Conclave.  The
weekend before that was Cambridgeport, thanks to Traci and Bert for
PCing.

*MVP's report:
We had pledge article meal on Monday.  The pledge manuals are done.
Pledges can pick them up at the MVP's desk.  I have most of the BB's.
I need to talk to a couple of pledges.  I will be scheduling a BB
meeting this week.

*AVP's report:
(I forget what I said.)  (Oh, yeah, I asked for someone to go to the ASA
meeting.  Or did I do that in announcements.)

*Treasurer's report:
I have something for Jen'n.  It's Irish.  It's meant to keep you warm
in the snow.  (Kate gives Jen'n hat.)  There are 21 active brothers.
Crystal and Elizabeth owe me.  I'm going to try moving more money into
the checking account.

*Fellowship Chair's report:
not present.  ``I'm still psyched about fellowship.''

*APOcEd's report:
The APOC went out on Friday.  This time I remembered to send copies to
our chapter advisors.  I also updated and typed up the chapter advisors
list -- it's up on the bulletin board.  I now have four pledge articles:
Al's, Bert's, Traci's, and J.P.'s.  If you see any of the other pledges,
please remind them to write one.  Next deadline is in about two weeks.

*ASC's report:
People have been throwing newspaper and white paper away.  We can recycle it!
There are two boxes under the bulletin board.

Jen'n:  And stop leaving coke cans on the coffee table!

*PubDir's report:
If I'm not at tonight's meeting (I'm very sick.  I know we're supposed
to share, so call me selfish.) here is my report:

The board will be changed this weekend!  Hurray.  Is the Big Screw a
Phillips or a flathead?  Never mind, I guess I'll look for myself...

Ping and I went to order a camera.

*Chairman of the Advisory Committee, report of:
Nothing to report.

*Committee reports:

*Book Exchange:
The books marked for donation are gone.  Two-thirds of the checks have
been picked up.  We're planning to actually get around to donating the
money this time.  Thanks to people who've been giving out checks.

*Big Screw:
I have sub-PCs.  In fact there are a lot of them right over there...
We will have another meeting next week.

*Social Chair:
I found my scarf today.  Semi-Formal Formal is under control.  It will
be on the 13th in EC, Talbot Lounge.  Do you guys want Steak Fry?
(Resounding ``yes''.)  It's scheduled for April 3rd.  I need a PC!

Tracy:  The PC will need to get the invitations out and reserve a place.
I plan to put together a How-To sheet for Steak Fry.

Ping:  You might want to generalize it to ``how to do a social event.''

Elizabeth: But there are some specific things involved in Steak Fry,
like where do you get the steaks.  I'm willing to co-PC it with
someone who's inexperienced.

*President's report:
We went to Conclave.  It was cold.  I slept a lot.  People hung out.  We
went to workshops and meetings.  Larry Label is the Section 96 [some noun]
again.  I had a nice dinner and a dance which was ok.  It was very
exciting.  You should all go to the next one in the fall, Nov. 5-7,
at U Connecticut.

Ezra:  We had dinner in the building where Glenn went to grade school.

Crystal: We saw Glenn's parents and they were very exciting, and we
saw his house and it was very exciting.  Picked a place for the
spring, UNH.  You should all go (if you want) to the spring Semiformal
at Eta Zeta, RSVP by the 5th.  I'll put it on the board.  32/couple.
I have information about the Section 97 conclave at New York
University.  April 16-18.  It looks like fun.  Isn't Judy in that
section? ...she's stepping down as sectional chair, right.  One more
thing.  Here's a letter.  ...To all chapter sectional directors.  The
1993 board of directors will select the fall pledge class namesake.
We want your nomination by May 1st with lots of reasons.  Also a photo
for the Torch and Trefoil.  Should be a role model or active outside
the chapter, [etc etc.] ...If we want to submit a nomination, we should
do it Real Soon.  Do we need to make a motion?

Glenn:  The work should be done in advance.

Jen'n:  We have some stuff from attempts from previous years.

*New Business: 
Kate: About the Book Exchange policy, I believe this year we've been
refunding money, which we haven't done before.  If we keep this
practice up, Book Exchange could be making a loss.  We need to decide
somethingabout this.

Ping:  How much in lost books this year?

Ann: I'm not sure, 100-200 dollars.  There are still people who come
in and can't find their books.

Jen'n:  It's normal to lose a few books.  I PC'd it and lost 60.

Ping:  What's the current amount in the Book Exchange fund?

Ann:  Around 3500.  I'd have to look in the office to be exact.

Ping: I move to donate 2500 from the Book Exchange account to the
national organization of Reading Is Fundamental.  (Seconded, Kevin)

Kate:  Friendly amendment:  arrange to leave 500 in the account instead
of arranging how much to give out.  Also we should be careful who we
donate it to.  We don't have an address for RIF yet!

John: Think carefully before setting precedents for what to do about
lost books.

Ping:  I would like to withdraw the motion.

Glenn:  Generally there is a line ``I agree not to hold APO responsible
for lost/stolen/damaged books.''  It's Unfortunate, But.

Ezra:  Do we make any interest on the checking account?  (No.)

Jen'n: I don't think anyone will notice if we set this precedent.
It's not a big risk.

Traci: I suspect one of my books was sold for much less than I asked.
Things could get nasty if we have a refund policy though.

Ping: There would be a tremendous loophole if we promise to reimburse
people!  I PC'd it once and we lost about a dozen books.  Very few
people gave me any trouble.

Joe:  I've seen people come in with big stacks of books.  Do brothers
actually check books to see if they exist?  (Not really.)

Ann:  I feel like we shouldn't make it a policy, but I don't want us
to look bad.  Treasurer's discretion?

Jen'n: I agree.  The treasurer can make a judgement call, BUT should
still say that APO is not responsible.  Sometimes it's books people
never want to see again anyway.

Ezra: We shouldn't be making any money, except that some people forget
to fill out sheets, or losing any money.

John:  If we decide to reimburse, we should definitely wait until the
last possible day in case the book turns up.

Ezra:  We should not say blanketly that we give refunds.  Money left
over should be left to the treasurer for a case by case judgement.

Kate:  Bear in mind, we should be more careful.  As a chapter.

Ping:  Let's close discussion.

*Announcements
*Crystal and Multi-Media
Crystal gives a little presentation of where we've been and where
we're going for the term (on big poster paper taped up to the
chalkboard.)  A few salient [I don't know what it means, I just wanted
to use it] points:  Service:  We're going to have someone come in
and talk about AIDS, and hopefully we can have a project on the subject,
making meals which other people will deliver.  At Conclave we got a list
of service projects going on at other chapters.  Leadership:  The pledges
are wonderful PC's.  CPPC goals:  Hm.  They need to be updated on the
Apoc.  Jen'n has had 31 people in service leadership positions so far.
Constructive Feedback:  People think we need a study break.  Various
people volunteered [each other] to do this.  For the record, Dave will
run one after next ExecComm, Kate will run one ``sometime'', Ezra will
run one on Baker Roof in April if it's hot, and Henning will run a T study
break.  Jen'n thinks the Apoc should have a calendar in it again.  Anyone
else who wants to see changes in anything should bug Crystal.

Ezra says he will go to the ASA meeting next Wednesday (Thanks Ezra)

Jen'n:  Can I talk to Kevin after the meeting?

John:  PC Steak Fry!  We have an advisor co-PC.

Traci:  Blood drive is next week.

Jen'n:  Come to the mystery project this week.

Jen'n:  Thanks to all my PCs.

Glenn:  There is a chapter submitting a charter next week.  If no chapters
vote no then it exists.  Talk to Crystal for more details.
