[APO-L] Helpful Hints for Charter Reaffirmations

Brothers:
Welcome back for the Fall Semester! By now, hopefully,
you are beginning to recruit new pledges for your
chapters and getting back into the normal swing of
doing great things on your campus and in your
community.
On September 9, Charter Re-Affirmation and AAMD
(Annual Active Membership Dues) forms were mailed to
all 350 active chapters. Many chapters may have
already received this packet in the mail.
Filling out these forms completely and returning them
by November 15 is required of every active chapter as
it falls under service to the Fraternity and is
required to be recognized as a chapter in good
standing.
There have been some changes to the forms, so here are
some helpful hints in filling everything out to assure
that your chapter will be in good standing:
1) Please enter the contact information for the
chapter on the front page to ensure we have an
accurate address/phone/e-mail/web page on file for
your chapter.
2) Make sure that both the President and Advisory
Chair have signed the areas on the bottom pertaining
to the Fraternity's Risk Management Policy and
Membership Policy. Your chapter may even want to
consider having the President and Advisory Chair read
and sign this in front of the entire chapter
so that they can witness it being done, and also know
what these policies mean. Signing these affirms that
your chapter will continue to observe and abide by the
Fraternity's rules and policies.
3) The Re-affirmation form and roster should list all
the advisors and brothers recognized by the National
Office. If there are Brothers you have initiated, but
are not on the form, please contact the National
Office right away to get them recognized - their forms
or fees may not have been sent or received, or it may
have gotten lost in transit. In the meantime, write
their name onto the form, along with all other
pertinent information needed and any monies owed
($20/pledge fee, $35/initiation fee).
3a) Also with regard to advisors, make sure you have
the correct allocation (2 Faculty/Staff, 1
Scouting/Youth Services, and 1 Community). If you
haven't already re-affirmed your advisors, now would
be a good time to do that if you wish (and to get new
ones if you need them!)
4) A field has been added to the form to indicate the
year and class of each member. Please take the time to
ensure this is filled out properly - there are now
more explicit fields pertaining to each class level.
5) There is a field at the bottom indicating the
number of Brothers who will graduate at any point in
this school year. Please make sure this number is
accurate - it is an important tool to track our
retention rates from year-to-year.
6) As recognized at the last National Convention, it
is now required to report what your chapter did (if
anything) for National Service Week and National
Spring Service Day, so this should be inculded in what
is sent to the National Office. If this is not
received, then your chapter will not be in good
standing. Even if your chapter did nothing, please
indicate that so that this requirement is still
recognized as completed.
7) The fee for every Brother listed as active on the
AAMD form is $15 per Brother. The payment section has
been significantly updated - it is now possible to pay
via check or credit card. Also, if your school
requires you to go through their system, there is also
room to indicate when the check request was sent and
who should be contacted within your school's
SGA/College Council/Treasury, so that they can be
contacted directly.
If you need assistance in completing the Charter
Reaffirmation, don't hesitate to contact your Section
Chair or Regional Membership Chair - both of them can
help you out with anything you might possibly need.
We hope to see all chapters be on time with their
paperwork and in good standing.
