Hello,
Here is an item for tomorrow's round table. Last week Allison and I did another review of the IS-Work database and came up with at least two areas that seem to need a little work. There is no need to print anything as I will bring the material to ITLT.
1. We feel that the group of purely financial Activities, mostly involving settlements, should be removed. These are an artifact of the FY02 Budget Book that had a template for each cost object. We do not use IS Work for any kind of financial management so these entries do not add any value. Allison is working to eliminate them.
2. In last November's pruning exercise (see message below), several new Initiatives were created. The intent was that all Initiatives would be at the same level of granularity. Four new ones were created and now need more detail associated with them, such as a complete Description, some Justification, and so on. I also looked at the level of detail of each of the old Initiatives and found 3 more that could benefit from some updating. Consequently, I would like to ask that the following Directors look at the these Initiatives and update them accordingly.
Greg 1-B01 Provide direct support for customers (NEW - involves pubs, training, WCS Activities and Projects)
Greg 1-B02 Provide support tools and training for customers (NEW - involves help desk Activities primarily)
Nate 2-B04 Define a strategy, create, and extend the next generation of high bandwidth networks and services, including wireless, gigabit network backbone, and mobile
capabilities (UPDATE - everything from wireless to Abilene to single mode fiber)
Roger 3-A03 Manage product lifecycle, including late stage functionality and decommissioning - (UPDATE - involves primarily VM migration)
Nate 3-B01 Upgrade telephone capability - (NEW - involves 5ESS)
Nate 3-B02 Upgrade inter- and intra- cable plant (UPDATE - involves wiring projects)
Susan 3-B03 Upgrade basic I/T software and services (NEW - involves basic infrastructure upgrades like e-mail and Oracle)
This should not be a lot of work. If you'd like, I'd be happy to help. Besides, each of us should keep our IS-Work updating skills honed as we are the owners :-)
Cheers, Bob

Hello, <br>
<br>
The initial set of pruning suggestions that Allison and I presented to
you at ITLT have been incorporated into the IS Work database. <br>
<br>
The Themes are the same, but a few Strategies have changed. Most of the
changes involved Initiatives, pruning those with no "leaves"
(leaves are the Projects or Activities) or combining similar Initiatives.
No Project or Activity was destroyed; these leaves were just moved to
another branch. <br>
<br>
If you look at Theme 5, you can see all the old Initiatives. Theme 5 and
all this old stuff will be eliminated altogether on November 13th. It is
being left there just in case one of you spots something. <br>
<br>
To give a clear layout of the entire database go to
<a href="http://web.mit.edu/is/work/%A0%A0%A0" eudora="autourl">http://web.mit.edu/is/work/
</a> Click on "reports" on the far right of the menu bar. Then
select "All Themes". You can then scroll through the structure
of the whole tree, and print it out if you wish. You can click on
"Hide Descriptions" to supress the detail.<br>
<br>
<br>
<b>Are we done? <br>
<br>
</b>Pretty close. Unless we hear from you, the old Theme 5 stuff will be
eliminated on November 13th <br>
<br>
Nate and I have discussed a better way to display capital and renovation
projects, but still have to go ahead and implement it. <br>
<br>
Allison and I will take one more pass before IRC time, and may suggest
some items to various Theme owners. For one, I'd like to get rid of the
purely financial Activities (e.g. Academic Settlements) because most
users won't relate to them. Allison and I may make a few other
suggestions like this, and of course want to hear any items you have.
