Hi Allison,
During our last IS Home Pages Team meeting we discussed the creation of a
process for updating the IS Schedule of Events. We came up with the
following proposal:

-Create a web form (a draft copy of the form is located at:
http://web.mit.edu/is/dontindex/draft/schedule/events.html ) that is
submitted to the is-home@mit.edu mailing list.  This mailing list will
reach all members of the IS Home Pages Team.  The web form format will help
to ensure that all information is received in a uniform and complete
manner, and that the person requesting an event entry supplies his/her
email address for followup and/or clarification.

-I will be the key person fielding the emails and updating the schedule.
In my absence one of the other team members on the is-home mailing list
will make the update and send out confirmation.

-Change the url of the Schedule.  The schedule is currently sitting in the
Competency Group's web locker.  To ensure that all IS Home Page Team
members have access to the schedule, we would like to move it out of the CG
locker and directly into the IS locker.  It would also be easier for users
to remember the url (web.mit.edu/is/schedule) and find it in the future.

-Questionable event entries will be discussed by the Home Pages team.  In
the case of event submissions that may not be appropriate for the schedule,
(ex. baby showers, farewell parties, weekly team meetings), the team will
be consulted and a consensus reached as to whether the entry should appear
on the schedule.

-Future transition of schedule information to a database.  Kevin Cunningham
(a member of the home pages team) is interested in moving schedule
information into a database that feeds the information live onto the web.
This is not something that our team is prepared to do right now, but we are
considering this for the future.  The information would be easier to
update, and all information (past and present) would be stored in one
place.  This would make it easy to create an archive of past events, which
is a new feature of the schedule that we would like to see implemented, as
well as having some control over the type of schedule information that
various users are privvy to (outside MIT vs. MIT only).

I know that this proposal is being sent right before you are scheduled for
some time off, so take your time in considering our plan.  I will continue
to update the schedule during your absence.  Please don't hesitate to
contact me, or anyone on the Home Pages team, with questions, comments
and/or suggestions about the new process being proposed.
