I. ACCOMPLISHMENTS
A. NEW PROJECTS
IXOS imaging project. At the request of CAO, a Discovery project was
initiated to determine the feasibility of imaging Accounts Payable
invoices. IXOS Archive-Link was selected and purchased. A Delivery
project team has been formed and has drafted a project scope and plan,
and ordered server and scanner hardware.
Internal Providers. A Discovery team was chartered to investigate and
propose solutions on issues concerning MIT internal providers (i.e.
those who sell services and products internal to MIT) and their
transition to the SAP environment. The team membership includes
representatives from MR/FO, CAO, IS, Sloan, LCS, as well as internal
providers. The goal of this project is:<bold> "</bold>In conformance
with the MR vision, craft a high level set of business & technical
requirements & recommendations to support requisitioning to MIT
internal providers and the transition to the SAP accounting structure
(7 & 6) for the identified providers."<bold>

Athena Login Library. The purpose of this project is to develop a
library implementing Athena-specific phases of the login process, and
incorporate that library into third-party and Athena-maintained
programs. The design and specification phases were completed this
quarter.=20

CSTR Image Delivery. This is a joint effort between IS, The MIT
Libraries, MIT Document Services, and the Laboratory for Computer
Science in a research initiative to scan, archive, process, and deliver
Computer Science Technical reports to the desktop. This research, a
collaboration with several schools, was done as part of the LCS Library
2000 project. The current effort will deliver screen-viewable and
printable page images as a production-quality service with explicit
levels of support. This past quarter the image processing and image
server hardware was ordered and received.=20
Parking Office. At the request of the Campus Police, I/S is reviewing
the work produced by a contractor, included a billing feed. So far,
Larry Dean and David Ho have completed testing most of the items that
IS agreed to review, with the only major problem so far being that the
first runs were unsuccessful because of use of last year's data. The
test will soon be rerun with October's data. Early next quarter the
tests will be completed and the results compiled into a report.

B. MILESTONES - SAP-RELATED PROJECTS
SAP/MIT partnership. This project has not been going well. The project
involves a collaboration with SAP Technology to adopt their ITS
(Internet Transaction Server) for MIT intended Web access to SAP. Two
key security issues have been identified and, we hoped, elevated to
SAP senior management. SAP has to date been nonresponsive on both long
term kernel requests and short-term requests to examine the ITS source
code.
Procurement Credit Card. The pilot, with 40 cardholders, was
successfully launched. Documentation for cardholders and verifiers was
produced and training conducted. The program to accept the bank feed
and notify verifiers has worked well.
Transport Approval Process. Paul Page and others improved this process
by<color><param>0000,0000,00D4</param> </color>1) creating a new list
of authorized transport approvers, 2) developing a short term plan to
refresh one the development clients (SF1:010), 3) convening of a
subgroup to develop standards for development class, authorization
groups, naming conventions, etc., and 4) agreeing on a longer range
recommendation to collapse our two development environments into one
(SF1 & SF2).
ABAP Query capability. An ABAP Query capability was built in the
production environment for key staff in accounting, purchasing, & OSP.
It has proved useful for some ad-hoc reporting needs.=20
Sloan SWAT Team. A small team, with the Controller and other members of
CAO & MR, began meeting weekly to resolve continuing issues around the
Sloan SAP implementation of early July.=20
SAP WEB. Release 1, which involves display only capability for
purchasing data, was rolled out to the MIT community on July 16, 1997.
Within a week, a thousand visits were recorded and activity has
remained high since then. Bug fixes have been applied. A modification
to display of account numbers and object codes has been designed and is
being tested. A knowledge transfer seminar, in conjunction with IT
Competency and IT Integration, was held for all interested parties on
September 9.=20

Data Warehouse. This was an active, productive quarter for the
warehouse team. Detailed rollout plans were published. Financial
production data was loaded - including actuals, overheads, and
commitments - and is now being refreshed weekly. The production
scheduling programs and SAP data extraction programs were written and
put into production as well.=20
SAP Technical Documentation. The project portion of this effort will
end early next quarter.=20
The program, system, and operations documentation templates have been
completed, reviewed, and archived. The actual documentation of most
bridges/feeds programs, using the templates, has also been completed.
C. MILESTONES - ALL OTHER PROJECTS
ADDSTRAT. This project targets the Implementation of Business System
Resource's Advance System to replace the current mainframe-based ADDS
System by July, 1998. The project team underestimated the effort
involved in writing the Policies and Procedure manual, which was
supposed to be in 2nd draft by the quarter's end. A first draft has not
even been completed, and now hiring a consultant is being considered.=20
AFS 3.4a Server Deployment. This project will upgrade the Athena AFS
servers to AFS 3.4a. All patches for the MIT environment were selected
and applied. An MIT 3.4a build was assembled and zone cell testing was
completed.=20
AFS Backup System. This project is the follow-on to the terminated
Athena Backup System Project, substituting the Transarc AFS 3.4a backup
system. Large scale testing for the system built last quarter has been
completed and the system moved into production.=20
Electronic Proposal System. Development on this major project, renamed
Coeus, continued. Principal investigator user interfaces have been
developed and reviewed. The Roles interface has been developed and the
authorization subsystem built.=20
Electronic Catalog 1.0. The purchase limit was increased on 10/1 from
$500 to $2500. Also, Windows95 and NT were added to the supported
clients, with the completion of the Ksign software and the necessary
installers. Tests of AMEX feeds from BOC are still being conducted.=20
Help Tools Release 1.0. Began and completed to the 90% level, a
certificate based server that allows for manipulation of data stored in
Oracle. Received delivery of final Macintosh GUI from Scopus. MIT
decided that this application is not stable as a recommended tool.=20
Weekly meetings continue to assess functionality, testing and rollout
issues. Rollout is planned for November, 1998.=20
Project Database. Release 1.0 was completed last quarter. Release 2.0
was designed and deployed this quarter. It provides additional on line
documentation and converts the existing user interface to BRL ( the
home-grown Beautiful Report-writing Language). For the follow on
release, a return to the Discovery phase, for examination of cultural
and business process aspects, is planned.=20

Sponsored Programs Management System. The data feeds to SAP were fully
productionized. All the duplicate data entry with SAP has been
eliminated.=20
Student/Teacher Evaluation. The Perl scripts to automatically generate
web pages for each subject were completed. Currently, the activity is
designing forms.=20
The Query Facility. TQF is now in limited production. Personnel is
gradually offering it to new customers. Installers have been written
for all three PC platforms and the MAC. =20
II. ADMINISTRATIVE ACTIVITIES
In August, a second internal introductory ABAP programming course for
key process owner and MR personnel was held in W89.
The Service Entry Improvement project initiated last quarter has
stalled. This project , which aims to better define Service needs and
promote Service issues planning, will be restarted (or formally
terminated) next quarter..=20
Delivery Team Leaders Meetings. Delivery team leaders meetings continue
to be held. every three weeks. The goals of this forum, to shape a
common expectation of the Delivery process and to provide for
information sharing and brief status of all Delivery projects, are
largely being met.
Staffing and Recruiting. Larry Stone, who moved to MIT and
Athena-related work from Harlequin software, filled the last open
developer position in Delivery. Our major issue now concerns retention
of in-house SAP knowledgeable talent.
III. PLANS FOR SECOND QUARTER, FY1998
C. SAP-RELATED PROJECTS
MR Development Team. Continue Institute-wide implementation and support
of Rollout 98 phase 1. Initiate a phase 2 pilot in the Administrative
Service Organization of the School of Engineering. Finalize the
planning & development for phase 2 Institute-wide deployment of SAP.
SAP Transports. In conjunction with other authorized transport
approvers, finalize work on addressing transport process issues,
environment considerations, & transport authorizations.
SAP Process Owners. Continue to facilitate the transition of
development team and consultant developed SAP related functionality and
programs to MIT process owner personnel.
SAP/MIT partnership. Bring to conclusion SAP/MIT procurement/electronic
commerce partnership offer decisions for both long term (AGATE Unix and
X.509 issues) and short term (ITS source code) MIT issues.
SAPWEB. Add account number distribution and lookup by vendor and
account number to existing display transactions. Begin testing of stand
alone and ECAT2 versions of "Create Requisition" family transactions.=20
SAP Technical Documentation. Complete Report Writer/Painter and
=46unction Module Templates. Write a final report on the effort. The
project will then transition to an ongoing 'QA' mode.
MIT Data Warehouse. Ensure the research Lab sponsors are comfortable
with and signoff on Release One of the Financial data. Load the OSP
project data. Prototype SAP overhead rates, authorized totals/budget,
and purchasing data. Load summarized table of Graduate Award data,
drawn from an aggregation of current award data plus a new extract of
extra award-related information from MITSIS. Rollout BrioQuery Version
5 and provide web interface for Windows 3.1, 95, NT and PowerMac
available. Release meta-data to the user community.

Athena Login Library. Incorporate library into all appropriate Athena

ADDSRAT. Resume work on the manual, purchase and install a 2nd server.
Resolve issues raised by the acceptance test. Continue work on the
report conversion effort. .Conduct acceptance testing and power user
training..
AFS 3.4a Server Deployment. Finish large scale testing and deploy AFS
3.4a to all Athena AFS servers.=20
CSTR Image Delivery. Review image processing algorithms. Put image
server and processor hardware online.=20
Electronic Catalog 1.0.Resolve billing problems with BOC Gases and
officially announce them as the 3rd vendor. Begin transition plans for
all vendors to ECAT 2.0.=20
Electronic Catalog 2.0. Refine generic ECAT2 design and requirement.
Begin design for migration of ECAT1 vendors and SAP EDI interface.=20
EPS. Make second quarter deliverables. Test EDI solution.
Help Tools Release 1.0. Release a suite of tools in November, 1997.=20
These tools include Phase 1 web/oracle, email/oracle and Scopus GUI.=20
Assess transition to service for these tools and evaluate next steps
for continuation to expand the existing tools base. Decide on
direction for maintaining Scopus software.
MIT Blue Pages Online. Complete the effort to place the Administrative
and office portion of the MIT Directory online and establish a
consistent flow from
