Buddy and I have been toying with an alternative way of
handling the receipt of SERMS that are numbered series (such as SPIE
conference publications), and I've mentioned the idea
to Sam, Marilyn, and Stephen.
We all thought it might be worth opening up the floor
to a larger group to consider the ramifications of
this proposed procedure.
What we have in mind is as follows: Instead of using the
cumbersome receipt process required in the ACQU module
for monographic series (using the parent/child relationship,
filling out 3 screens of info, checking processing notes,
etc.), we are thinking that we could create a copy
set for this kind of material. We would then be able
to receive and check in this material very quickly, with
a few key strokes. We'd also have the advantage of
a receipt history in numeric order, which would
help us in problem-solving, and we'd have tighter
claim control.
HOwever, there would clearly be an impact on cataloging
if we used this method. These materials would not have
brief records generated during receipt, and so would
go to BAS for searching without any record in the
catalog (much as docs and gifts do). If no copy
was found, someonw (in BAS?) would need to create a brief record
in order to send the piece precat.
There is also a public service impact. We would
have to have a phony acquisitions record showing
in the OPAC in order to have a copy set. It
would read, for example, "SPIE publications check-in record."
Patrons could view the list of received numbers,
as for a journal title. This might be seen as
an advantage or disadvantage--we'd have to inquire,
IF you all in cataloging agree it could work.
