On Nov. 11, 1992, Debbie Hackleman of Oregon State University sent a message
to this list which addressed several specific problems her institution has
experienced.  One of the problems she noted was the inability of the
Binding option to handle the linking of analytical records to the parent serial
record.
 
This is one problem we have not experienced at Boise State University.
Although the documentation on this feature was unclear in the manuals, we have
managed to use it successfully to link analytics to the corresponding serials
record as well as to link several different bibliographic entries in one bound
volume together.
 
After reading Debbie's e-mail message, I mailed her a copy of our in-house
procedure.  Debbie just called to say that the procedure works for their
institution and suggested that other GEAC Advance installations might find it
of some value.
 
 
PROCEDURE FOR CREATING MASTER RECORDS IN ADVANCE AND BINDING OTHER PIECES
RECORDS TO THE MASTER
 
1.  Create pieces record for each volume in Advance using either a smart or
dumb barcode.  This will serve as the Master record (If you are linking items
cataloged analytically to a serial bibliographic record, attach the barcode to
the serials pieces record and use a negative barcode (N------) on the pieces
records for the the analytics)
 
2.  Create a pieces record in Advance with a negative barcode (N-------) for
each item on the other bibliographic records.  If there are two or more unique
titles bound in one volume, attach the barcoded pieces record to the first
title in the book.  If you are attaching analytic bibliographical records to a
serials record, create a pieces record for each analytic title and use a
negative barcode on each.  The pieces records for these items will be bound to
the Master record created in #1.  Make a note of the negative barcode number
assigned to each pieces record.
 
3.  After all the pieces records have been created, retrieve the record that
you want to be the Master record.
    A.  Type bo for the Bound With option.
    B.  At the option line, type in the N------- number supplied by the
        system for the non-master record.  This will return you to the
        pieces record for the non-master (or child) record.
    C.  Retrieve this record.  The system will give you the bound with
        option line.
    D.  Type V to retrieve the Volume/Part option line, if necessary.  Enter
        any information that will be necessary to identify the bound volumes.
    E.  Type F to file the bound with option.
    F.  Type FI to file the pieces record
 
4.  This will tie the two pieces records together.  Any remark or
circulation notation added to the master (or parent) record will also
display on the linked child record.
