Mary,
None of our student staff are work study (at least not for us) so they are paid out of a designated line on the ITS budget.
We plan the schedule out in detail each semester (though there are rarely changes from fall to spring) and assign priorities to the different spaces we cover based on past traffic as recorded in our incident system. From the schedule, we can project the expected total cost (Total hours * Mean wage < Budget) and adjust it by the priority if needed. I made up a spreadsheet (which I can share directly if you like) to facilitate this part, easily simulate various changes, and compare cost and coverage to the previous term.

Subject: Budget for student employment?
Hey all :-)
For those universities that rely heavily on students for staffing in lab support and help desk areas, are you provided in your budget a specific amount to be used for budgeted student employment?
For instance, we're allocated a certain amount of total work study funds, but not much at all in budget funds for when the student's work study funds run out. Considering most work study awards for students are only $2000 per year, at the $9.00 per hour they get paid and working an average of 12-14 hours per week, this money runs out extremely fast and due to the amount of training typically involved to be able to do their jobs successfully, letting them go once their award runs out is not a feasible option nor do we often have the incoming applications to replace them if it was.
Just curious how other IT departments handle this/structure their staff around it or if it's even an issue.
Thanks!
Mary
