Mary,
We are allocated a certain amount for Student Wages (Non-Work Study) and up until a year ago, we didn't even have the option for Work-Study. Now I have about 2 work -study students that are each allocated $2,000/yr.
We are told sometime during the summer usually, what our budget will be for the coming academic year and starting that point, I keep very close track and project hours by semester so as to not lay anyone off during the year. My students work anywhere from 10-20 hours/week during a semester and are paid $8.50/hr with the ability for wage increases. Unfortunately, this year, we are unable to give wage increases due to the fact that our budget is not increasing. So I have set a tentative schedule for all of my student employees that once they agree to it, that is their schedule for the entire semester (except finals week). Then I project hours per pay period based off of pay and monitor that every two weeks during pay periods. Breaks, due to budget, we often do not have any of the student employees work. I will also send them home if we have no work for them to do to help keep the budget on track and they are all very aware of it.
Budgeting the student employment is a very tight and stressful duty, but my goal in the process is to make sure that they have employment throughout the year if we have work for them.

Hey all :-)
For those universities that rely heavily on students for staffing in lab support and help desk areas, are you provided in your budget a specific amount to be used for budgeted student employment?
For instance, we're allocated a certain amount of total work study funds, but not much at all in budget funds for when the student's work study funds run out. Considering most work study awards for students are only $2000 per year, at the $9.00 per hour they get paid and working an average of 12-14 hours per week, this money runs out extremely fast and due to the amount of training typically involved to be able to do their jobs successfully, letting them go once their award runs out is not a feasible option nor do we often have the incoming applications to replace them if it was.
Just curious how other IT departments handle this/structure their staff around it or if it's even an issue.
