What do you use to provide the download of MS Office for students? How do you manage it only going to actual students?
As for us, our campus agreement is through NERCOMP. We recently switched to a plan that allows us to provide Windows and Office to students increasing over a 4 year period. The 2011-12 school year will be our 3rd year, so it's technically available to all freshmen, sophomores, and juniors. We have our laptop vendor sell the students discs for $25 (we pay something like $7-10 for each disc). The vendor keeps some of that as part of the service and then uses the rest as a discount for us since they also service the college-owned workstations.

At Western Carolina University we have a Microsoft licensing agreement hat allows students access to Windows 7 Ultimate for free, they just have to pay for the official hologram media. It costs $16.16 at the bookstore after tax. I think the media is only 10 a piece but they increase the price for sticking, etc. Distance students can also order it and have it mailed. Students are limited to two purchases per year. We also provide the latest version of Office for both PC and Mac for free. It is available for either free download or purchase of the official media.
For OS reinstalls, we have a universal disc image with all versions slipstreamed together. As long as they have their sticker and it is readable, we are able to use that. For XP, the license agreement supplies a free upgrade from Home to Pro, so we can always install XP if they have no key. We sometimes use the Magical Jelleybean Keyfinder to take the key off before format, but that isn't always possible. At times when we just can't get the key, we just tell them to go to the bookstore and pay the $16 to get a new license, which is usually an upgrade for them anyway (since it is the ultimate version).

Subject: OS licensing for students
Does anyone have an OS (Windows or Mac) licensing agreement so that students can receive the OS for free or for a small fee?
If so what are the terms of the agreement?
How do places deal with student machines that need OS's re-installed and the student fails to provide the disks?
