Dear UA Committee Chairs,

Earlier today, you should have received a notification that you were added
to two calendars. These two calendars are reservation calendars for various
parts of the UA Office: the Middle Office (W20-401B) and the main office of
W20-401 (where the folding tables are). You were also added to another
calendar, the UA Committee Calendar.

You should strive to have committee meetings in the UA Office. The more
members of your committee interact with other members of the UA, the
stronger the sense of community we build, and the more spontaneous idea
generation there is. I would love to see every committee meeting regularly
in the UA Office. There is a large selection of free drinks in the UA
Fridge, and a large selection of free snacks, each of which is replenished
regularly. There is an awesome, well-equipped supply cabinet with all of
your office and study needs. We put all of this here, so that you do not
have to worry about anything (eating, getting supplies), and have a relaxed
atmosphere to accomplish whatever you need to get done. It is here for you!
I highly encourage you to use all of it, and hang out.



*Making a Reservation for a UA Room*
The way reservations work, is when you have a committee meeting, you go to
the appropriate calendar for the room you want, and create an event on the
calendar (just as you normally would on another Google Calendar. Your event
should have your *committee name* and *your name* in the Event Title. It's
that simple!

*Do This for Every Committee Meeting (regardless of where it is)*

The UA Committee Calendar is a separate calendar, that we use for the
purpose of providing transparency to students, and give them the basic
ability to give input when they want to and when it is relevant.

For every meeting of your committee, and every meeting you have in your
capacity as a committee chair (even if it is with another UA member), you
need to make an event in the UA Committee Calendar.

Make an event for the appropriate time of the meeting, and include: *Your
Committee Name*, *The Person you are Meeting With*, and *The Subject of the
Meeting* in the Event Title. In the Event Description, provide a *brief*
outline of what you plan to discuss at the meeting.

All in all, it takes just over one minute to put an event in the
reservation calendar and the committee calendar.
