Hello all,

Last Wednesday we had a Chapter Program Planning Conference (CPPC).
We thought about the things we wanted to accomplish this upcoming year
and recommended a set of goals enumerated below. Please take a look
over them and think about ways you might help the chapter achieve
them. :-) The minutes (ideas we came up with) follow.

YiLFS,
ian

Ideas/Minutes
=============

Communications

- Mailing lists
  - List of lists
  - Add ACL for discuss archive since apo-news is not public
  - AC will send mail about lists to apo-announce (after ListComm
makes changes, if any), present changes at first chapter meeting,
and update lists in pledge manuals
  - Pledge meeting about Athena, communications

- Publicity
  - We have two bulletin boards, the occasional drop poster, and LSC slides.
Sometimes we publicize ourselves at Reg Day
  - Update board outside office with drop poster info, printing
info, and silkscreening info when it gets going.
  - Add folder of summary sheets of information
  - Infinite Corridor board
    - Update often - add more about projects
    - Advertise service projects during term on infinite board
  - Web page
    - Include pledge cards advertised at Nationals
    - Add images of business card, pledge cards
    - Webmaster as appointed chair? Appoint by first week of term
    - Add press, ride board, silkscreening info
  - Ride Board
    - Decide by end of fall 2001 whether to continue
    - Have appointed Ride Board Chair try to publicize more, including
      considering online possibilities
  - Drop Poster
    - Cloth, reusable ones
  - AC this term will put list of reservations in office/locker
  - People should help with postering for projects (not just one or two)

- APOcrypha
  - Dates and deadlines scheduled in advance
  - Approximately 6 APOcs/term
  - Encourage people to submit a lot of content
  - Poke editor and brothers

- Advisors
  - At least 1 event/term aimed at advisors (mid-term or so)
(pick four dates, have them choose). Pipa will do it this term.
  - Try this term, and decide whether to continue
  - Have advisors write in APOc something like "meet the brothers"
  - More active faculty advisors
  - Find new faculty advisor candidates by end of term, advisor by end of year
  - Utilize faculty advisors to increase service on campus and for publicity
  - Need to meet (get to know) advisors before effective utilization

- Sectional/Regional/National
  - We seem isolated from other chapters
    - Project with BU? (lack communication)
    - Invite BU chapter to projects
  - Publicize Yahoo! chats in chapter, link to WUAPO
    - Send at least 1 person to each SAC meeting
  - Organize at least 1 project/term with outside chapters
  - Invite other chapters to Steak Fry or SFF?
    - need hard RSVP and check-up call
  - Penpal program with other chapters?
    - Talk to alums that advise other chapters (Jeffreypu, etc)
  - Publicize in national mailing list
    - To subscribe, type "blanche apo-l-incoming -add $USER"

Leadership

- What are the expectations of officers?
How can we help them do what they have to do?
  - Officers attend all meetings; if they miss one, send report
  - Everyone should attend meetings
    - Individual prodding?
    - Call people?
  - Appoint assistants? (as needed)
  - Regular APOc reports
  - Weekly/biweekly officer/president meeting? (15 min/2 weeks)
  - president/officer office hours to get together?

- Chapter Skills
  - Chapter Skills Chair
    - Avoids confusion between president and SVP?
    - But probably not necessary - If we have strong individual skills chairs,
      SVP can handle
  - Have a policy and define silkscreening, printing, tools, first aid chairs?
  - Make publicity a chapter skill?
    - Drop poster, booth set-up, bulletin boards, etc.?
  - Generic policy by end of term, codify chapter skills by end of year

- Chairs
  - Publicize in chapter who hold the positions and what they do
  - In standing policies, specify who appoints whom
  - List of chairs and their associated officers (the person that
the duties default to if the president is not required to fill the chair):

	Tools SVP
	Silkscreen Pubdir
	Press Len?
	First Aid/Safety/CPR	SVP
	Alumni Liaison AC
	Ride Board SVP
	Coke FVP
	Webmaster AC
(Sysadmins) AC (sysadmins should get a leader?)
	Sergeant-at-Arms	Pres
	Recycling OM
	Food FVP
	Chapter Book Hist

	(Chapter Assassin)	FVP
	(Chapter Fairy) FVP
	(Alphies) FVP

[Not mentioned during meeting were Contact and Sour Notes Chairs]

  - By next year we should have solid job descriptions of each and put
    them in the Chapter Book.

- Transitioning
  - Fix and publicize Chapter Book
  - Each officer should update over course of year
  - Update Mentor List

Membership

- Retention
  - We're alive, but we can do better.
  - Find inactives and deliver cookies to them late at night?

- Pledging
  - Give office tour (including drop poster sales instructions)
  - Get address, any food allergies, and types of service preferred early on
  - How to keep continued pledges
    - Prod past continued pledges
    - Put apo-prespectives on apo-announce individually
  - Make sure pledges understand that they're free to drag their friends
along to APO events without rushing
  - Pledge meetings
    - 0th priority: pledge manuals distributed at first meeting
    - 1st priority: office, requirements, drop poster, money (RFPs, debt list)
    - 2nd priority: skills, PC'ing, leadership
    - 3rd priority: history, organization, advisors, bylaws
    - 4th priority: nationals, robert's rules
  - Revamp and update pledge manuals
    - Old names (AVP, FC, ASC)
    - Drop poster policy
    - Definitions of chairs
  - How to be a big brother
    - write up something for this term, make it better by end of the year
  - Should make sure info from PCR/PTRM get passed on to MVPs?

- Brotherhood
  - We have many inactive brothers
  - Brothers need some clue
  - Have Rules and Bylaws Committee look into Associate membership
    policy/definition
  - Look into why people go inactive
    - Have the MVP find a psyched person to study
    - Report at end of year

Fellowship

- Try to give notice on fellowship events at least a week in advance
- Have a calendar of events
- Get list of useful rooms and who can reserve them for different
  types of events
- Inclusive fellowship policy - can drag friends over
- PC chair? Sign-up sheet of events to PC? Get PCs to commit early
- Look for new location for Steak Fry
  - Move Steak Fry to Talbot? Then it cannot Sat night or Fri afternoon.
- Try to encourage pledges to write textual articles for PAM
- Random little activities - perhaps have APO stuff happening every Friday
  night?
- Pair fellowship events with pledge meetings and service projects?
- Highly recommended to MemComm for MVP to appoint Mommy's Little Helper

Service

- Big Screw/UMOC
  - Publicity, candidates far in advance
  - Take two days early on to get candidates
  - Schedule awards ceremony ahead of time
- Update SVP files by end of year
- Public Service Center
  - Can probably find advisors there and find help with service
  - Possibly do something with Circle K?
- Project with BU?
- Come up with project for National Service Week
- Have projects at least every two weeks
- Youth Service Grant? Deadline is in December
- Book Drive? (Leftover Book Ex books may be good for that?)
