Minutes of the APO Chapter Meeting of 2013-03-20


The meeting was called to order at 19:50:44 by ooorieka.

In attendance were:

Officer Reports:
	ooorieka (Pres): My report will be scattered all throughout
		the meeting.

	ooorieka, channeling alexwest (SVP): I've sent out emails with
		service opportunities; read them. If you have opinions
		about what service we do or when we do it, answer my
		other email. We really need to find an overall PC for
		Big Screw today. Kevin will sub-PC Publicity, pennajm
		will sub-PC or co-PC, mgersh will mentor.

	wwwennie (PVP): We had a pledge meeting last week, talked
		about the chapter, went well. Another tomorrow.
	emify: Wennie got one more pledge to show up than has pledged
		this semester. I'm impressed.

	emify (FVP): Ovie and I are probably PCing Steak Fry. It'll be
		awesome. There will be a sleepover fellowship,
		probably late April based on Doodle. Another
		possibility is the second weekend of Spring Break, but
		I can't make it and I don't know if anyone else wants
		to organize.
	ooorieka: I'll be here, and will look into having it.
	emify: anchen voiced the opinion that things should happen
		over Spring Break; when I told him he should run
		something, he was less thrilled. If you want to make
		anchen happy, or just think fellowship is awesome, and
		want to run something over Spring Break, let me know!
		I'll give you as much support as able given that I
		won't be physically here. I'm also going to talk to
		MemChairs about House Cup stuff, which may or may not
		happen given it's fairly late in the term. Talk to me
		if you want more fellowship - there hasn't seemed to
		be that much interest, but I can send out a survey and
		see what other things people are excited about.
	rodriga1: I'm going to see if I can make Les Mis at pika
		happen between Spring Break and finals.

	ooorieka: anchen (Treasurer) will be late, because he's having dinner with
		Chancellor Grimson. rhkeeler is at the ASA GBM.

	ooorieka, channeling mgersh (PubDir): Whoever's doing Big
		Screw publicity should talk to me. I have ideas.

	ooorieka: kosiarek (APOcEd) isn't here.

	pennajm (Office Mananger): I eventually plan on doing an
		office cleanup. I hate the fridge. The fridge is evil.
	rodriga1: The fridge could use some sponges and bleach.
	pennajm: Probably this will happen the week after spring
		break.
	ooorieka: The office needs more paper plates.

	mgavrin (Historian): The Historian camera is broken. The
		screen no longer shows images. This is sad. I would
		like some budget for a new historian camera.
	oremanj: How much do you need?
	emify: You can get a reasonable camera for $100.
	oremanj: I move to allocate up to $150 for the purchase of a
		historian camera.
	emify: Are you sure it's actually broken / you don't have to
		just press the reset button first?
	mgavrin: It's really broken. The screen shows no response to
		anything you do with the camera. $150 should be enough
		to get a reasonable camera and shipping therefor.

Conclave Report:
	ooorieka: There was one important development that happened at
		Conclave. Ellen, would you like to say what it was?
	ccrazy: No.
	rodriga1: Sections 94/96 no longer share a treasury, effective
		Fall 2013.
	ooorieka: Traditionally, 94 and 96 (which have Conclaves
		together) have a joint treasury. Conclave surpluses go
		in, unforeseeable Conclave deficits come out. Also
		section dues and section events use this treasury.
		The split was primarily so that 94 and 96 can set
		policy differently; we will still have Conclave
		together, but we can treat our money differently.  It
		passed mostly unanimously. It shouldn't change too
		much.
	rodriga1: It shouldn't change the experience of Conclave or
		anything that most APO people will have to deal with
		in interfacing with the sections. It should mean we
		have fewer epic flamewars. Maybe. But that depends on
		how well the next round of Conclaves does financially.
	ooorieka: I don't think it'll solve big epic flamewars.
	ccrazy: It's going to be ugly the first time someone has a big
		loss because a chapter from the other section didn't
		bring the number of people it had promised.
	oremanj: How will it be decided which account gets
		surpluses/deficits for a given Conclave?
	ooorieka: Depends on who's running it.
	ccrazy: Actually, it's not known yet. The next Conclave, each
		section will deal with its financial policies and that
		will have to be addressed in a joint financial policy.
		So we'll have epic flamewars for at least one more
		Conclave.
	ooorieka: I was worried 94 was getting the short end of the
		stick, but they were mostly ok with it.
	ccrazy: Right now the sections are about the same size.
	ooorieka: tl;dr the Great Financial Flamewar has been
		postponed again.

Important Interrupting PFTGOTO:
	oremanj: I interrupt this meeting to inform you that rhkeeler
		just became ASA President.
	[general congratudolences are expressed]

Back to Conclave:
	ooorieka: We have a new Section DSK Policy. At this Conclave,
		Ellen got a Section DSK. [general congratulations]
		She now has the complete set.
	ccrazy: Except the Alumni Association one.

	rodriga1: Spring 2014 Conclave will be at UNH. Fall 2013 is
		at UVM. I'd like to see if we can get significantly
		more people to come to upcoming Conclaves.
	ooorieka: UVM is encouraging us to book hotels *now*. I'll do
		that and cancel what we don't use.
	ccrazy: I'll try to figure out what hotels UVM is
		recommending.

	ooorieka: afarrell and I did Roll Call. Andrew recited
		Jabberwocky and I played the part of a tree. It was a
		performance.

	rodriga1: Kim was reelected as Section Chair.

Regionals Committee:
	ooorieka: We've been assigned Workshops. We'll be contacting
		presenters and working with the Section Chairs and
		Region Director to find out which workshops they want,
		which ones we get to choose, who's going to present,
		coordinate all of that, and get people to announce the
		presenters at the start of each workshop. It's very
		logistics-heavy and manpower-light, and the manpower
		part (announcing) can be farmed out to big chapters.
		We're good at logistics and I think we can do this.
		We don't *have* to do it, we can choose to help out
		generally instead of focusing on one thing, but I'd
		like us to at least try this.
	rodriga1: I'd like to do this. Unsure whether I should chair.
	ccrazy: What this really requires is one or two people who are
		very reliable and can stick to schedules and don't mind
		talking to people they don't know, for the advance work,
		and then whoever shows up to Regionals.
	rodriga1: I'm up for doing some of that, but should have a
		helper to keep me on track.
	ooorieka: I'll be on the committee too.
	ccrazy: Whoever's chairing will have to go to committee meetings
		once they start happening.
	ooorieka: benkraft is interested in helping but explicitly not
		chairing.
	ooorieka: Even if you're not on the committee, we'd love it if
		you help out!

Big Screw:
	ooorieka: Originally, one of our pledges (Kevin) was going to
		co-PC with a brother, but he's now decided to sub-PC
		publicity. We need a main PC.
	pennajm: I expressed interest. I'm willing to PC on my own if
		I have mentorship.
	ooorieka: mgersh wants to mentor.
	rodriga1: I'd be happy to co-PC with you. I was around for the
		last Big Screw, at least, and now have some experience
		working with dexion.
	[pennajm and rodriga1 will co-PC.]
	mgavrin: I'm willing to sub-PC.
	oremanj: I'm willing to advise on / handle money and engraving
		stuff, which I've done in previous years. I should
		probably be more toward the advising side so the clue
		doesn't leave when I do.
	ooorieka: I'm willing to sub-PC as well. Sounds like we'll
		have a Big Screw this term, but planning needs to
		start super quickly.
	emify: Timeline problems? We have two days, Spring Break,
		a week, and then Big Screw.
	oremanj: If we start the candidates process now, and publicity
		as soon as we get back from Spring Break, I think
		it'll work.
	ooorieka: If we feel that we can't be ready by the 8th, say
		so and we can push it back.
	rodriga1: Emailing out for candidates now is probably great,
		because hell week.

Steak Fry:
	ooorieka: Sounds like me and emify will co-PC.
	emify: Unless anyone else is really excited - right here,
		right now, who wants to make a lot of steak and talk
		to alums? (You can do one without doing both.)
	pennajm: I'll help cook.
	ooorieka: Steak Fry is Saturday 4/27. We might not get a lot
		of alums because it's soonish.
	oremanj: I think if we notify *now* with a firm
		date/time/place we'll be fine.

	[discussion about who gets SAO mail notifications, conclusion
		that there's very little rhyme or reason]

Bylaws Amendment:
	ooorieka: The ASA is doing a bylaws review. They're mostly
		happy with our status, but they want us to add the
		governance clause that all student groups are required
		to have. It's mostly harmless.
	rodriga1: Is there anything interesting in that clause?
	ooorieka: There isn't, but we have to talk about it.
	[proposed bylaws amendment is projected]

		Article XI: ASA Governance Clause

		The Alpha Chi Chapter of Alpha Phi Omega agrees to
		abide by the rules and regulations of the Association
		of Student Activities, and its executive board. This
		constitution, amendments to it, and the by-laws of
		this organization shall be subject to review by the
		ASA Executive Board to ensure that they are in
		accordance with the aforementioned rules and
		regulations.

	ooorieka: We're not having an exec for three weeks, so I might
		want to have a Special Exec right after Spring Break,
		to discuss this amendment to start the amendment
		process.
	oremanj: That doesn't actually help us finish the bylaws
		amendment process any faster, due to delay
		requirements.
	ooorieka: We'll just do it at a normal exec meeting then.

Other:
	wwwennie: Come to pledge meeting tomorrow at 9pm!

	ooorieka: anchen is not here, no Treasurer report.

	pennajm: The St. Patrick's Day 5K volunteering went well, even
		though I got shouted at by lots of drunken bystanders.
