Minutes
APO Joint Exec Meeting
12-12-07

We poked the lump on the couch at 1813. It turned out to be zev.
He called the meeting to order at 1822

Present: neboat, jmcquaw, zev, kimfad, kkbrown, s_evans, cristen, lwest,
holmesmd, ccrazy, hopp

Agenda
If Kim were here, we'd swear her in. And Kristina (who is here).
Lets do that now. No, wait, Ellen won't be here til later.
Officer Reports, Statements from outgoing officers, swear in Kristina,
other stuff.

Officer Reports
Prez
NIBs need office access.

Historian
I uploaded pictures. Like, 130 of them.

SVP
I don't know. Apparently we have Finals Coffeehouse coming up.

AC
I'm getting a cluedump soon. I don't know how to reserve rooms yet, but
I will soon.

"Why aren't chapter meetings in the office?" Usually everyone doesn't
fit in here.
More people would probably come if it was in a regular place every
week.

Pubdir
Our giant roll of paper is here, because Samuel and Jim are awesome.

Statements from outgoing officers.
SVP
Finals Cookie Baking happened.
Finals Coffeehouse is coming up.
Bookex will happen, and I will get on that.
"How'd the term go... any advice... good/bad stuff...?"
I was told getting projects would be hard, and getting people would be
easy, but it was
usually the other way around. People were very willing to PC things.

FVP
The pledges who were interested did really well. In retrospect, I should
have kept track of how well pledges were doing, on my own, instead of
relying on bigs to remember. Better records would have been useful.

AC
WOOOOOOOOOO! I basically spent a lot of last term figuring out what
rooms we usually like having things in and stuff, and people telling me
to figure out how to do such-and-such. And eventually I figured out to
do stuff. I'm going to write up a doc with lots of AC stuff (websites,
phone numbers, things-to-do).

Prez
Big problem: I didn't know what the officers were doing. I didn't know
what you (past MVP) were doing ever. Ever, ever. People not showing up
to exec was disappointing. I think the biggest problem was that I was
out of commission right up to the end of October. Then I jumped back in
and burned out really quickly.

Asking current officers about goals for next term.
SVP
I liked having a variety of projects. I'd like less weekend morning
projects, and more weekend noon-ish projects so more people will come to
them. Also, I have difficulty asking people to go to a project I can't
do myself (weekend mornings). Maybe try to make sure that the SVP isn't
perceived as such a bad position that we have trouble replacing me. We
should have 3 or 4 candidates running, so we can pick the best one.
"Friendly Office", like FVP and MVP are friendly.

FVP
I mostly want to send out calendar-type-things, so that people see
several times in each email when things are coming up.

MVP officer report (retroactive), now that she is here
We have 2 continuing pledges from last term, and already one new pledge.

MVP goals (on-time-ish)
My main goal is that people get really stressed out trying to get all
their commitments done when it's the last minute. Maybe make big-little
relationships better so littles stay interested. Make more actives be
active and seen. Also, the East/West campus thing. Maybe have brothers
bring a friend from West campus to a meeting, or someone from a
different social group.

holmesmd-"The pledge classes are becoming more female, and while
this isn't a big deal now, it could be down the road, and this year's
exec should be aware of it."

Discussion on the problem follows. Maybe have something more "manly" at
open meetings. Power tools, barbeque, less wankery, open meetings might
be boring. We should have a big couch deconstruction power tools thing
at the beging of the term.
We should add APO tools training to the IAP calendar. Zev is looking
into it, but we have to get dates and stuff. We should get that soon.

Timeline, kind of. [MVP is] Getting here late January/early February. If
I made things, would people hand them out to one of their friends?
Advertsing. Religious groups already often do community service stuff.
We could advertise to them as a way to do service.

More Discussion. ccrazy-"The West campus thing has been an issue for
5-ish years now. It's never been quite this skewed, but it's been
heavier towards the east campus side for a while now. It's talked about
every year. Recruiting is done best by talking to people you know. But
when everyone you talk to lives in East Campus..."
ESG? It's also kind of skewed... towards Random currently. Very
international this year. Better balance than us...
_______________________ <-(the bottom line) More West Campus People.

FVP
Repeats his goals, since it's now kind of in the correct order. See above.

AC
I want to do all the shiny things TB's been thinking of in the past few
weeks that he didn't do last term, but wants to get going.

Apparently it's in the AC's job description to print out a full roster
of everyone in the chapter, but it hasn't been done in many years.

Pubdir
I think a lot of people don't know what we do. Silkscreening,
Letter-press, Drop posters... I'd like to get a letter out to the other
student groups and advertise the services we offer. We need to get
people trained to do this stuff too. We need to get the APOcrypha back
in paper form. Blog is good, but having a paper version is better. Both
is better. Making sure the locker gets updated. I've done a lot of
invitations and stuff over the last few years. I need to find them and
put them in the locker. We always scramble to make new ones whenever
they're needed. People need to be trained to sell drop posters. We
should have a day and a half thing where people learn stuff. People are
getting lazy.

APOced
People have been pretty good about sending me articles, but they could
always send me more. I've been maintaining the blog. I didn't get the
paper version. I intend to do it this term.

Advisor
Need to do stuff this term. Need to get dsk's ordered, so that they can
get to the people who deserve them. We've gone away from having
assisstants for the officer's position. That kind of declinded as our
membership did, but now the numbers are kind of going up again. People
should think about getting assisstants so they know stuff, and don't
have to learn everything after being elected. People don't know who the
other advisors are. We should work on that.

Prez
I want to increase the amount of coordination with the officers and the
prez. I want them to know what's going on, make sure I know what's going
on. During exec and chapter meetings last term, since it wasn't the same
day every week, I felt like I was just repeating what happened during
exec to the chapter meeting. It just happened 3 days ago for me, but
it's new to them.
That could be why pledges thought inmportant stuff happened at exec.
I want to get the office more organized. It'd be nice if more of the
chapter knew about more of the stuff that the office has.

Announcements

The ASA meeting for space allocations was yesterday. Reps from each of
the groups that were flagged will be meeting in the next 2 weeks to
figure out the process for space allocations. We won't lose the space.
Default is we get to stay here. It's likely we might have to share with
someone. The back room would have to be re-arranged, we'd need to get
locks on stuff/cabinets... if it came down to us sharing. It's been
suggested that a staff member with a master key might have been behind
the recent thefts from student group offices, so if we want we can go to
the ASA and request that our locks get changed, off the master key. This
means physplant wouldn't sweep the office... monthly?... and we'd have
to leave our garbage outside.

If APO had any checks stolen, we'll see 2 withdrawls and a credit for
it, and we should check this.

"Unless there's anything else, lets do some swearing."-Zev
Swearing in Kristina and Kim.
kkbrown is now officially the SVP, kimfad is now officially the MVP
Yay!!!

We need chairs for stuff. We have sewing as a chapter skill, but no
sewing machine. Maybe money from alums.

Couch Deconstruction can be a service project. Garbage people charge
money to take away couches. Unless we break it up into tiny pieces first.

Would having a project every week be a good idea? Equal opportunity.
Maybe having 1.5 projects a week towards the beginning of term, and then
less later. More projects close by, or with less time dependence. Stuff
to do in the office, like the decorations making.

Tree pruning Saturday February 9th. Non-brothers going on that,
insurance? MIT insurance covers us. We've never had to invoke liability
insurance. Medical... maybe.

Schedule Making Happens. Everyone moves into the 2 square meters
immediatley surrounding the white board, it's enveloped by a large
moving dust cloud, noises happen, clocks tick, a cow somewhere chews its
cud, people discuss stuff, and some amount of time later, the schedule
