[Yeah, these are rather late. You don't want to know how long I
slaved over LaTeX. There's another set of minutes still to type up,
but I don't think that'll happen before I leave on vacation tomorrow.

Minutes of Joint Execcomm Meeting, May 11, 1999
Administrative notes:
~~~~~~~~~~~~~~~~~~~~
Start: 7:30 pm; End: ??? pm Present: Ian, Sam, Sara B., Sara P., Ari,
Emily, Melissa, Carolyn, Jamie, Grant, Laura
Outgoing Officers' reports:
~~~~~~~~~~~~~~~~~~~~~~~~~~
[The incoming AVP arrived late, and so missed this part. Anyone who
took anything resembling minutes for it should 'fess up.]
President (Melissa): [paraphrased by the AVP] Here are toys for the
outgoing execcomm. Silly-putty for FC (Emily): . A barrel of
monkeys for President (Sam): . Lollipops for the incoming
officers (``Don't think about it too hard.'')
SVP (Jamie): Thanks for coming to projects and such. There are no
more projects scheduled for this term. Here's a pitch pipe for
FC (Sara B.): , I forgot to pass it on last term.
Incoming Officers' reports:
~~~~~~~~~~~~~~~~~~~~~~~~~~
SVP (Emily): Fill out this form which I'm handing out, and turn it
in at the end of the meeting [AVP: it asks about what projects
people liked and didn't like and whether people would come to
ServeComm.] There will be a ServeComm meeting next Wednes-
day [May 19]. Email has gone out about it, we need a room
reserved [AVP: Daniel took care of it]. This summer we're going
to try to have people who are in the area do small individual
projects as a service to the chapter, as my previous email dis-
cussed. To do this, I need a list of who will be here this summer.
( AVP (Sara P.): That's what the apo-summer list is for, I'll
deal with getting it updated.) I need people to PC the usual
things (Reg Day, Book Ex, etc. [AVP: Ian already volunteered
for one of those, but I forget which.]).
MVP (Carolyn): There will be a MemComm meeting next Thursday
[May 20]. Email has gone out about it. There may be food. We
need to do the freshmen mailing, it has to be in by May 28. Give
me suggestions. My current thoughts include a survival booklet
of advice to incoming freshmen, banners (like last year), and/or
a letter.
AVP (Sara P.): I'm incredibly hosed right now, but will be less so
soon. If you need something done right away, before I get un-
hosed, say so, or it will get queued until then. I'm taking min-
utes. I'm going to meet with Daniel on Saturday to find out
everything the AVP has to do. Once I'm unhosed, I will deal
with the mailing lists and database and everything.
Treasurer (Marisa): Marissa's not here, but Sam says they'll have
the budget done by this Friday for I-banquet.
FC (Sara B.): Carolyn's volunteered to doin Fulton's Folly's on July
4th. Ari's going to act as fellowship chair for the summer while
Sara B.'s away.
APOcEd (Ian): David helped me with the template, and Laura's be passing
me clue. I just finished the EggoTM APOc's in LaTeX. Incoming
officers should get me their incoming officer articles by tomorrow
[Wednesday] evening.
President (Sam): [Enthusiastic stuff, which the AVP didn't manage
to write down. See his email to the chapter.]
Schedule and Calendar for Fall Term
~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~
We need to figure out a calendar for next term. Here's what was worked
out:
Wed Aug 25 Frosh arrive
Tues Aug 31 Activities Midway
Tues Sept 7 Reg Day
Wed Sept 8 First day of classes
Mon-Fri Sept 6-10 Book Exchange
Sat Sept 25 Pledge Article Meal
Sat Oct 2 Steak Fry
Fri-Mon Oct 8-11 Chapter weekend I (the
big/little study break will be
during CWI)
Mon Oct 11 Columbus Day (MIT
holiday)
Fri Oct 22 Semi-Formal Formal
Mon-Fri Oct 25-29 UMOC
Fri-Sun Nov 5-7 Conclave
Thurs Nov 11 Veteran's Day (MIT
holiday)
Fri-Sun Nov 12-14 Chapter weekend II (hope-
fully pledge-run)
Wed Nov 17 Drop Date
Sat Nov 20 Initiation
Thur-Sun Nov 25-28 Thanksgiving break
Thur Dec 9 Last day of classes
Fri Dec 10 I-Banquet
Mon-Fri Dec 13-17 Finals
People seem to like having initiation before elections so that new broth-
ers can run for office. We tried to put PAM early, so that pledges
could meet brothers during it and maybe find bigs. Because the big
brother/little brother study break/dinner/event has been scheduled for
CWI, that means that CWI will probably be close to Boston so that
more brothers can go.
When to have chapter and execcomm meetings: Day: Tuesday or Wednesday
both seem okay, some people like Wednesday better. AVP (Sara P.): is
sent off to find out if the chapter has problems with either. Time:
People like 7:30pm better than 7:00pm. Frequency: It's suggested that
having an execcomm meeting only once a month, while having chapter
meetings still be every two weeks would be better because it would
give people an open time to schedule things likes servecomm and
memcomm meetings. If something desperately needed execcomm's
attention, we could hold an emergency meeting. Ari: only remembers
two times ever when something was referred from a chapter meeting for
execcomm. Changing meeting frequency would require changing the
bylaws, which means it will take at least two chapter meetings (for a
formal announcement and vote) to get this change put through. People
don't seem to have a problem with that. Meeting schedule is typically
presented at I-banquet, but doesn't have to be, so we have a little
time to get people's opinions. [ AVP (Sara P.): from the feedback
I've gotten so far, it seems like it'll be Wednedays at 7:30pm.]
Pledge ceremonies will probably be sometime around Sept 8, 10, 16,
and 21, but those dates are more meant to mark the right week than
the right actual day.
