Minutes of Chapter Meeting (Wed., April 14 1993)

*Administrative notes:

*Officers' reports:

*SVP's report:

Last weekend we had a pledge project.  10 people went.  It was good.
Boston Food Bank sent us a thank-you letter.  I will post it on the
red board with various other thank-you letters.  CWII is this weekend,
you should all decide to go.  Sign up.  Thursday next week the
CPs are etching serial numbers in car windows.  They can use up to 12
volunteers an hour.  Sign up.  The weekend after that is Pledge Term
Review, no project.  The weekend after that on May 1st is the Walk for
Hunger.  We will help register from 6:30-10:00.  BTW, you can seek
people to sponsor you per hour the same way walkers do per mile, if
you want; see me or my mailbox for the appropriate sheets.  Awards
Convocation is May 5th.

Ping:  When signups go around, you should always write 
something.  If you're not going, write ``no.''

*MVP's report:

I have two nifty handouts which you should all pick up.  One is a list
of all the spring term service projects and social events.  The other
is guidelines and suggestions for interview questions.  Pledge Term
Review Meeting is Saturday the 24th.  Interviews will be held before
then.  People don't like the rooms I reserved for elevation on the 8th
so I am getting different rooms.  What rooms do people want me to get?
(Some people suggest 26-4foo, which is through LNS..)

*AVP's report:
uh, nothing to report.

*Treasurer's report:

We got paid for Reg Day.  (Yay!)  $1200 went to the bank account;
$600 will go to Book Exchange.  We'll pay for I Banquet with MIT money.
If people have money they want to claim back, get RFP's (Requests
For Payment) to me before I Banquet.

Pay your debts!  I found the Pledge Article Meal list.

*Fellowship Chair's report:

I haven't found a moderator for Blackout yet.  There is bribery for
this meeting, and there will be more for the next.

*APOcEd's report:

The next issue will go out sometime next week.  If you're running for
an office, write an article.

*ASC's report:

Apologies for the inconvenience while the office furniture was in
disarray.  Thanks to Crystal, Jen'n, and Henning, who helped move it
so we weren't fined $50, and thanks to Kate who helped move it back.

*PubDir's report:

We have four new plastic dropcloths.  Guard them with your lives.
I still need ideas for the Infinite Corridor board.  That's all.

*Historian's report:
Kevin will have the camera for Chapter Weekend.  (Beware. :-)

*Chairman of the Advisory Committee, report of:
Nothing to report.

*President's report:

I sent out shingles and got lots of thank-yous back.

I Banquet:  I tried to get it someplace else!  It's at German House.
May 8, $10 per person, invitations are going out.  Kate's going to
a CPW this summer.

I have some things to give out.  (Ping and Yale get certificates.
Crystal also has shingles for last term's pledges but only gets to
give out a couple of them.)

*ScrewComm:

(Bridget) We ran Big Screw.  Eliot Levitt won.  The booth got taken
down.  We will be getting an address for Aids Action soon, as well as
word from Eliot about whether presentation at Senior House Steer Roast
is OK (he wanted to make sure various people could make it.)  The AVP
has a hard time taking minutes while she gives a report.  She did
write her report beforehand but then she lost it.

*Book Exchange:

(Ezra) The books are out of the office.  We will dispose of the
[bodies..  er..]  money tonight.

*Chapter Weekend II:

(Kevin) CWII is this weekend at Camp Virginia.  We'll show up Friday
night, no one will be around until the camp director returns Saturday
9:30 AM.  He wants us to set up tents.  He said it takes 1.5 man-hours
to set up a tent...

Glenn:  It's not unreasonable if you bring in bunks and mattri too.

There's not much indoor stuff to do, so bring a book, bring cards.

*Business! ...Donating BookX Money 

Kate: Move that the chapter donate $3,200 from the Book Exchange fund
to the National Braille Press.  Rationale: This money has accumulated
over the past seven or eight years from the ``profit'' from the Book
Exchange.  It is felt that the money should be donated to a charity
concerned with literacy.

Glenn seconds.

Jen'n:  How much will be left in the account?

Kate:  At least $600.  Not including any profit from this term.

Dave:  Was all this money slated for NBP?

Kate:  It's never written down beforehand, just given.

(Jen'n asks that people refrain from side conversations, which were
beginning to interfere with the above clarifications.)

Motion passes (9 for, 0 against, 3 abstaining)

*More Business! ...Press Shop Standing Policy
(Copies of proposed policy are distributed...)

Kate: Move that we accept this [the following] as a standing policy.

``Move that the Letterpress Shop be governed by this standing policy
of the Alpha Chi chapter of Alpha Phi Omega:

* Letterpress Self-Sufficiency

The Letterpress Shop shall be financially self-sufficient and not use
other funds of the Chapter.  Except as noted elsewhere in this policy,
assets from the Letterpress Shop will not be used to finance other
activities.  The Treasurer is directed to account for the monies of
the Letterpress Shop separately from other funds of the Chapter, so
that at any time the exact amount of money the Letterpress Shop has is
known.

* Printing for Alpha Chi

Jobs printed for the Alpha Chi chapter of Alpha Phi Omega will not be
charged for use of the press, numbering machines, ink, or solvents
on-hand.  Funds from the appropriate chapter account (membership,
fellowship, service, etc.) will be transferred to the Letterpress Shop
for other items, including any paper or card stock used, and anything
(including ink and cuts) specially ordered for the job.

* Payment

Only cash, check, or a Chapter Request for Payment is an acceptable
form of payment for jobs printed in the Letterpress Shop; M.I.T.
account transfers and other forms of payment are not acceptable.  No
jobs shall leave the Letterpress Shop until payment-in-full is
received.''

Dave: Move to correct all spelling and grammatical errors that do
not change the meaning.

Yale asks whether the third line should be assets or funds.  Kate says
Len wanted assets.  Several people explain to Glenn what the
difference is.  Ping calls the question (no obj.)  Motion passes
(11 for, 0 against, 1 abstaining.)

*Even More Business! ...DSK Noms!
Crystal reads about DSKs and voting.  Ezra suggests that people restrict
nominations to people they'd vote for, rather than making blanket
nominations (e.g. ``All graduating seniors'')

Nominations: Glenn nominates Jen'n.  Ezra nominates Glenn.  Crystal
points out that we can nominate past or present brothers who are here
or not.  Dave nominates Brian Dunkel and Darlene Ford.  Glenn nominates
Dave.  Kate nominates John McClain.  Jen'n nominates Ping.  Ezra nominates
Mike Person.  Ezra nominates Alex Aminoff.  Glenn notes that nominations
are open until discussion is concluded, and a 2/3 vote by those eligible
is sufficient to give a DSK to a non-nominated brother.  Glenn explains
closed meetings by Dave's request.  Discussion in closed meeting.

*Announcements 

Yale: Sunday April 25, Yale [University, not the speaker, silly..] is
being reactivated.  If you want to go too, let me know.  The estimated
price is $30; we'd leave at 11 am and return sometime that night.

Jen'n: There are lots of projects coming up.  Talk to me if you're
interested.  Walk for Hunger.. John's PCing.  Awards Convocation..
does anyone want to PC it?

Jen'n:  Can I talk to Rachel after the meeting.

Jen'n: Give Harry an article if you've accepted a nomination.  [AVP's
