~~~~~~~~~~~~~~~~~~~~~
Start: 7:07 pm; End: 10:00 pm Present: Lizzie!, Grant, Jake, David,
Michele deMarco, Ingrid, Cathy, Richard, Heather Drake, Ari, Matt,
Susama, Melissa, Yale, Oscar, Laura, Carolyn Jones, Harry, and Alan
Meisler
Officers' reports:
~~~~~~~~~~~~~~~~~~
SVP (Susama): Open project on Saturday (9/6) with the Boston-NY
AIDS Ride. Be there.
On 9/13, there's another open project; it's a park cleaning. In-
grid will PC.
Chapter Weekend 1 is on the weekend of 9/20. I still need a
transport/manpower PC. Currently, Ann-Marie if the food PC.
If someone else is interested in chairing this, I would be glad to
help.
Also, recent PCs-I'm keeping track of who goes to which projects.
Please keep lists of who shows up.
AVP (Melissa): Take wuapos.
Treasurer (Matt): Nationals increased brother's dues by $2; they
increased initiation fees by $5.
Pay yer debts. And pay your dues by the next meeting to be
active.
APOcEd (David): No Rush Apocs. There will probably be one by
the next meeting.
ASC (Lauren): not present
PubDir (David): We have drop poster paper. And for the first time
in a while, we have white paint. Cool. Jill got stuff.
President (Lizzie): Send me feedback. Feel free to e-mail me, or put
a note in the comments/suggestions box that will soon reside in
the office.
Committee reports:
~~~~~~~~~~~~~~~~~~
Silkscreening Chair: (Cathy): We have COOL tie-dyed shirts.
They're $8 each, and they come in a lovely variety of neat col-
ors and patterns. You can either put the money in an envelope
in the strong box, or debt list it. Unless you already owe the
chapter a lot of money. The the treasurer would have to kill
you. But at least you'd be wearing a neat-colored shirt in one
of various lovely patterns.
Conclave Chair: (Cathy): Conclave is a conference of the 13 New
England chapters of APO. It's held twice yearly, and sometimes
even has brothers from NY and NJ.
WE NEED A LOT OF HELP DOING THIS.
Conclave meetings are on Mondays at 8:30pm.
MVP (Jeffrey): We have lots of prospectives. 40-50 are on our list,
and none have asked to be removed, yet.
Check out the revised brotherhood expectations/pledge require-
ments. Discussion will follow.
Help me paint a drop poster after the meeting to recruit new
prospectives.
And MomComm meetings will probably be every-other Thurs-
day (starting next week) at 8:30pm.
FC (Brian P.): Come to the Red Line Study Break this Sunday. Then
there's a picnic on 9/13 in the park after the park-cleanup.
If you have time time time, I'm also looking for an I-banquet
PC.
Historian (Brian): I cleaned the desk. Organized pictures from Char-
lie's term. They still need to be archived, as do APOC's and
last term's minutes.
Book Exchange: (Laura): Just a few things: brothers can only
reserve books until 5pm of the same day. And payment is either
in cash, traveller's check, or (for brothers only) personal check.
(READ: *no debtlisting*)
Old Business:
~~~~~~~~~~~~~
New Business:
~~~~~~~~~~~~~
Lizzie: Ira Cooper, a transfer student from the APO chapter at RPI,
wants to become a transfer member of the AXcoAPO.
(meeting closed)
(meeting opened)
No monster jokes, Ari.
So we're voting on whether to let him into the chapter. (White
ballot). So he's a transfer member as soon as we fill out the
paperwork.
Treasurer (Matt): Nationals increased the brotherhood dues by $2
per term. So I move that we raise the dues from $15 to $17 to
pass along the increase.
(discussion)
(Motion passes: 13 yes, 0 no, and 1 abstain)
Nationals also increased the initiation fees by $5. So new broth-
ers would have to pay
$25 to Nationals for initiation
$6 to Nationals for dues
$4.50 for APOCs
$6.50 to us
$3.50 for the pin
Since we only have control over one of these line-items, I move that we
lower our $6.50 charge by $5 to offset National's increase. This would
result in raising the Initiation Fee's Grand Total from $37 to $39.
(discussion)
(Motion passes: 13 yes, 0 no, 1 abstain)
President (Lizzie): We need to update our standing policies. They
need to be renewed by the chapter every three years, or they
just die.
This first one is in regards to the cash box cash limit. It reads
"It shall be a standing policy of the Alpha Chi chapter of Alpha Phi
Omega to limit the amount of cash permitted to be left in the cash
box (or the safe in the office) more than twenty four hours to $200.00
and to require checks to be deposited by the end of the calendar month
they are received by the Treasurer."
(Renewed: 9 yes, 0 no, 2 abstain)
The next one is about letterpress policies. It reads
"The Letterpress Shop shall be governed by this standing policy of the
Alpha Chi chapter of Alpha Phi Omega.
"LETTERPRESS SELF-SUFFICIENCY. The Letterpress Shop shall
be financially self-sufficient and not use other funds of the Chapter.
Except as noted elsewhere in this policy, assets from the Letterpress
Shop will not be used to finance other activities. The Treasurer is
directed to account for the monies of the Letterpress Shop separately
from other funds of the Chapter, so that at any time the exact amount
of money the Letterpress Shop has is known.
"PRINTING FOR ALPHA CHI. Jobs printed for the Alpha Chi chap-
ter of Alpha Phi Omega will not be charged for use of the press, num-
bering machines, ink, or solvents on-hand. Funds from the appropriate
chapter account (membership, fellowship, service, etc.) will be trans-
fered to the Letterpress Shop for other items, including any paper or
card stock used, and anything (including ink and cuts) specially ordered
for the job.
"PAYMENT. Only cash, check, or a Chapter Request for Payment
is an acceptable form of payment for jobs printed in the Letterpress
Shop; M.I.T. account transfers and other forms of payment are not
acceptable. No jobs shall leave the Letterpress Shop until payment-in-
full is received."
(Renewed: 8 yes, 0 no, 2 abstain)
Lastly, we need to renew the Drop Poster Paints policy, which reads
"It shall be the policy of the AX chapter of APO (henceforth, the chap-
ter) that the drop poster paints offered by the chapter shall not leave
the fourth floor of the Stratton Student Center.
"Exceptions to this policy shall be granted at the discretion of the Pub-
licity Director. The decisions of the Publicity Director shall be final."
(Renewed: 10 yes, 0 no, 2 abstain)
MVP (Jeffrey): Here is this term's revised pledge policies.
(to view this on athena, go to /mit/apo/Officers/MVP/Policies/pledgeF97.*
*tex)
The only changes from last year's policy are
-Meet at least two-thirds of the active brothers and two-thirds of the
pledge class.
-Uphold the ideals and principles of Alpha Phi Omega.
I move that the chapter approve this as stands.
(Passes: 9 yes, 0 no, 2 abstain)
For the brotherhood expectations (/mit/apo/Officers/MVP/Policies/expectF97p.tex)
The only changes from last year's policy are -Attend at least seven*
service projects (AVP's note: THIS WAS LATER CHANGED)
-Attend at least two-thirds of the chapter meetings
-Uphold the ideals and principles of Alpha Phi Omega.
(discussion)
(Amendment: proposed by Ingrid) There shall be a bullet in brother-
hood expectations in the encouragement section that reads, "Attend at
least 3 projects after the pledge ceremony."
(Amendment passes: 13 yes, 0 no, 0 abstain)
(Amendment: proposed by Cathy) Change to first bullet to read: "at-
tend at least six service projects."
(Amendment passes: 13 yes, 1 no, 1 abstain)
(Motion to approve the brotherhood expectations as amended)
(Motion passes 13 yes, 0 no, 0 abstain)
For the voting policy (/mit/apo/Officers/MVP/Policies/votingF98p.tex)
Change
-The voting period runs for three days instead of two.
(Friendly amend to insert the words "for the fall 1997 pledge term" in
the first line.)
(Friendly amend to correct typos, misspellings, and grammatical er-
rors.)
(Approved: 13 yes, 0 no, 3 abstain)
