Hi. This is your friendly Conclave Co-Chairs writing to force you (I mean,
ask you to) give us your opinions and time for Conclave. :) (See, I told
you we were friendly.)
Order of Business Number 0: Come to the meeting every Tuesday at 7!!!
Order of Business Number 1: Conclave Theme
Every good conclave should have one! Here are some of the ones
that were thought of at the last conclave meeting:

Order of Business Number 2: We Can't Do This By Ourselves!!!
We need your help to have an awesome conclave, or else you'll
sleep and eat rocks all weekend. But we'll still be friendly. Maybe.
These are the positions that we need to have filled. If you'd like to
volunteer for one (or for several), reply to this mail. We'll be
awaiting your response because we're friendly.
Da Jobs:
FOOD (NON-BANQUET) This person is responsible for finding food
for all non-banquet events that need it (breakfasts, Friday night
activities, Saturday dance refreshments, etc). This person is also
responsible for providing information about lunch options on Saturday.
(It would be good if most food could be donated).
BANQUET This person is responsible for finding the location
and food for the banquet. The banquet person is also responsible for
awards, roll call, a speaker (if we have one), any other speaking type
things, and equipment rental (sound, dishes, tables, etc), as well as
other banquet niceties as is deemed necessary.
SECURITY This person is responsible for making sure that all
arrangements for security have been made. This includes working with
the CPs and the athletic department as well as developing a plan for
security measures to be taken in Johnson when we will be sleeping
there.
WORKSHOPS This person is responsible for finding workshops
(and people to run them), scheduling workshops during the conference,
and assisting the workshop leaders as necessary (equipment,
photocopies, etc.)
SERVICE This person is responsible for finding service
projects for conference attendees, making them go to project
(including balancing numbers of people at each project), getting them
to and from there, and making sure the projects happen. The UberPC.
ENTERTAINMENT This person will be responsible for planning
fellowship events and planned spontaneity for Friday and Saturday
nights, including the dance. This person will also assist in ordering
memorabilia (glassware, Tshirts).
REGISTRATION This person will be responsible for designing a
registration form, ensuring that we get all necessary information from
and about attendees in advance of the conference, as well as keeping
an accurate list of who will be attending. This person will also be
responsible for preparing the registration packets.
ALCOHOL This person will be responsible for drafting our
alcohol policy and ensuring that it is received and understood by all
persons attending the conference, as well as making sure that the
policy is enforced.
MANPOWER This person will GET THE CHAPTER PSYCHED about
working for Conclave. This person has our permission to use as much
force as necessary, so long as the victim^H^H^H^Hvolunteer can still
do the work.
PUBLICITY (EXTERNAL) This person will be responsible for
preparing all mailings (electronic and paper) which will publicize the
conclave. This person will be responsible for other publicity as
necessary.
