Minutes of Chapter Meeting (Nov. 14, 1995)

Officers'  reports:

SVP (Cathy): This past weekend we had a project at Shriner's Chil-
       dren's Hospital.  It was fun.  we palyed with kids and the kids
       seemed to like it.  Conclave happened.  It was OK. There is a
       project this Saturday at the Boston Food Bank. Meet in the of-
       fice at 8 am. There is a sign-up sheet going around. It should be
       over by 12:30. There is a project after Thanksgiving on Decem-
       ber 2 at Sojourner House.  It is a homeless shelter in Roxbury.
       Also, After Finals is over Martin Luther King, Jr.  Weekend
       January 13-15. I need a PC for it. If interested, talk to me. You
       won't be hosed. You can't be hosed.

MVP (Kevin): MVP Report: I'm in Miami. This is my report. There
       will be a study break tomorrow in the office at 8:30. There is no
       particular theme to this study break. It is a "Gosh I've still got
       money in my budget and the children are begging for cookies"
       study break.  Come to the study break and have a good time
       without me. (I'll be out of town.)

       Miami, by the way, is lovely this time of year.

       Pledge Term Review Meetings and Pledge Feedback Meetings are sched-
       uled for Sunday, December 3. The pledges will be meeting in the APO
       Office, the brothers will be meeting in PDR 12. I have tentatively sched-
       uled them for 2 pm.  We have the room all afternoon, so if there is a
       deafening outcry saying ealier or later would be better, I can reschedule.

       Big Brothers and Pledges should start thinking about End of Term
       interviews.  An interview consists of the big brother, the pledge, and
       one or two other active brothers.  The purpose of the interview is 1)
       To give the brothers an accurate account of what the pledge has done
       during the term, and what the pledge's impressions of APO are, so that
       the brothers can make an informed decision about whether or not the
       pledge is ready to be elevated. 2) To give the pledge an opportunity to
       ask questions. 3) To discuss the pledge's involvement in APO in future
       terms.

       When I return from Miami (did I mention its lovely here this time of
       year?) I will be distributing more detailed guidelines for interviews to
       those Big Brothers who feel they need them. For now, just start trying
       to figure out when to hold your interview and which brothers you would
       like to invite. It is ideal to have the interview sometime the week before
       PTRM, but you can do it sooner if need be.

Treasurer (Alexis): DJT catalog order form will be mailed Friday or
       so. Order something and put checks inthe strongbox.

FC (Jeffrey):  Study Break tomorrow.  I won't be there because of
       band. SFF is this weekend. You should go.

APOcEd (Chris): not present

ASC (Ari): new policy has been made. Anyone who buys drop poster
       paper and doesn't use our paint is charged three dollars a day
       everyday they DON't use it.

PubDir (Susan): not present

Historian (Bob): I'm hosed. nothing to report.

Advisory Comm. Chair (Joe): nothing to report

President (Harry): As Cathy said earlier, Conclave happened. Also,
       if anyone is interested in going to Regionals this year which are
       over winter break, December 29-31 in Hartford, CT, talk to me
       to get registration materials. Also, John Kohl will be here (he's
       a little late) to talk a little bit about the AX Alumni Association.

Possible New Scouting Advisor

Harry:  Our current scouting advisor has not helped us in quite a while.
       Ranger Jim from Camp Resolute has helped us a lot, though.
       Joe has suggested that we make Jim our new scouting advisor.
       We would have to ask him, and then initiate him as an advisor.
       What does the chapter think?

Cathy:  I like it.

Glenn:  Assuming this goes through. Plan to keep him in touch with
       the chapter. That's the president's responsibility.
Harry:  As there seems to be no further discussion, I'll call for a vote
       (more like a straw pole.) All in favor: many - none - none. Okay,
       we'll ask him.

New Policy on Continued Pledges

Harry:  Next item on the agenda is a New Policy on Continued Pledges,
       sponsored by Kevin.  Let's take a few minutes for everyone to
       read it.

Move that the following be a standing policy of the Alpha Chi Chapter
of Alpha Phi Omega:

First, that continued pledges be encouraged to go through the pledge
ceremony at the start of their second term.

Second, that a continued pledge must either attend the pledge cere-
mony, or, sometime prior to the ceremony, communicate to the MVP
that he/she intends to actively participate in the pledge term. A con-
tinued pledge who does neither of these shall no longer be considered
a pledge.

Third, that part of the MVP's duties as coordinator of the pledge term
shall be to make a reasonable effort to contact all the previous term's
continued pledges and discuss their intentions for the coming term.

RATIONALE: We don't want to turn people away, we want to wel-
come people. However, there are times when a pledge loses interest in
participating in APO or decides he/she is no longer able to participate.
When this happens, continuing to treat the person as a pledge (by in-
cluding them in mailings and phone callings, etc.)  serves no purpose
and can lead to feelings of guilt or frustration on the part of both the
pledge and the brothers.

The pledge ceremonies are three weeks or more into the semester.  If,
in three weeks, a continued pledge has not participated in APO's ac-
tivities, and has not (despite reasaonble effort on the chapter's part)
demonstrated a desire to participate, its best to jsut back off.

The purpose of encouraging continued pledges to re-pledge is that going
through the ceremony is an ideal way for a continued pledge to get the
new term started off on the right foot.  Its a chance to meet the new
pledge class and signifies a fresh start.

Harry:  Discussion?

Ingrid:  I like it a lot.

Question about having quorum

Harry:  We just have quorum (9 brothers.)
Jill:  Are pledges allowed to discuss?

Ingrid:  Pledges are allowed to discuss. You have a right to be heard.

Cathy:   For anyone not sure about the part asking the pledges to go
       through the pledge ceremony again, I went through the pledge
       ceremony two times in a row and it didn't seem awkward to me.

Emily:    Jeremy went to a pledge ceremony the he was continued,
       although he didn't go through it again, and I don't think it
       bothered him a bit.

Jill:   The policy makes the person make a decision which is a good
       thing.

Harry:  It seems that we are all pretty much in agreement. We'll vote.

Vote: 8-0-0 Motion passes.

Alumni Association

John Kohl:   I am the president of the AX Alumni Association.  The
       association is for brothers who have graduated or who have left
       for some other reason. I'm here just to remind you that we exist.
       We publish the Alumni Chapter Newsletter which any brother
       can subscribe to. We also publish an AX Alumni directory. Ev-
       ery spring we also hold a reception for graduating brothers and
       their parents during Senior Week before graduation. Actives are
       also invited. We occasionally have service projects in the Boston
       Area often coordinated with other groups. We sometimes work
       with the organization "People Making a Difference" started by
       an AX alum, Lori Tsuruda. We hold a bi-monthly blood drive
       run by Ellen Kranzer that usually hit holidays when blood sup-
       plies are low.  We had a big turn out last week - 10 people -
       with a dinner trip after.  We also hold an annual meeting dur-
       ing alumni week at MIT. Thanks for letting me come and talk
       to you all.  And I'll send more information to the AVP about
       joining, etc.

Nominations

Harry:   Well, think about it, since elections are only 2 weeks away.
       Does anyone want to make a nomination now?

Ingrid:   Brothers should write candidate articles and send them over
       apo-news

Jeffrey:  I nominate Emily for Fellowship Chair.

Emily:  I accept.

Announcements:

Yale:    ESP needs help from 11 -1pm in Room 12-182, everyone is
       invited to come.
Cathy:  Yes, I was told that ESP is looking for people to help in their
       spare time; come to their office anytime.

Yale:  There are hundreds of high school students showing up on Satur-
       day between 8:30 and 9 am to register and sign in. Currently we
       only have 3 or 4 people to register. So if you have time Saturday
       morning, come and help in 8-105.

Ari:    There's a Hunger Drive going downstairs.  I was told to let
       everyone know that.

Sparky:   BU is having an elevation ceremony December 1, a Friday
       night at 7 pm, room TBA. If anyone is interested in going and/or
       needs a ride, talk to me.

Ellen:   I don't know if this was mentioned earlier by Harry, but Re-
       gion 1 and 2 are having their Regional Conference in December,
       I believe the 29 through 31 in Hartford, Connecticut, if any-
       one is interested in going.  There will be workshops and other
       brothers from different chapters.  Harry has information about
       it.  Also, on the 28th, there will be a CPW, Chapter Program
       Workshop instead of President Workshop as it used to be called.
       I would encourage anyone whois interested in becoming SVP,
       MVP, Fellowship chair, or President in the future to go.  It's
       pretty intensive and goes from noon the 28th to 5 pm the 29th.

Emily:  This Sunday Laurel and I are teaching Silkscreening for anyone
       who is interested (Jill is coming) We plan to make 3 dozen "One
       Dam Project After Another" T-shirts, 2/3 of them X-large.  If
       interested, come. We will also have T-shirts for sale later.
