Subject: MIT directory update
Here a summary of recent changes to the online directory. We
would welcome feedback and insight you may have. We will keep ITLT
informed of further changes and timelines.

Problem statement:
1. The Athena directory (finger name@athena) has not been
functioning since June and it doesn't look like it ever will again.
2. The on-line directory never included voucher/consultants, who have
email and are part of the MIT community.
3. From time to time, there has been confusion on the content and
maintenance of having two directory services.
Solution:
1. Merging records in Moira who are NOT already in the data files from
the Registrar's Office and the Personnel Office will solve the
the following issues:
a. Immediate ability to look up freshman and new graduates who
have registered for an account. Typically, the registrar's
office does not send a new file until mid September, which
would then include the new students. Once the Registrar's
Office sends the file, they will then control the data for
all registered students.
b. With the Athena directory not being updated, this presented
problems with students who made changes to their Athena
directory information (via chfn) and did not see the change.
Specifically, in early August (8/12), two students requested
that their records be removed from the Athena directory due to
not wanting to publicize their information. This required
special attention.
Bonnie Walters (Dean of Students) called to complain that
faculty advisors could not use the Athena directory to
obtain email for their new students, as has been done in
the past.
c. Ability to locate a greater set of the MIT population.
2. Only name and email will be provided with the title of "MIT Affiliate".
The Registrar's Office will supply the MIT ID's and names of those
students who want all information withheld.
History of events:
July 22, 1997 - Accounts notified of issues with Athena directory and
possibility to move records to mitdir.
August 3, 1997 - Registrar's Office and Personnel Office notified of
change and requesting feedback. Issue of withholding
of records was discussed with workarounds determined.
September 4, 1997 - 5,316 records loaded into Moira. This would
possibly account for 1,102 freshman and 1,418 new
graduates.
Issues:
a. What is the extent of records to be imported into the directory?
Voucher/consultants? Guests?
b. In the future, we can improve on the "MIT Affiliate" by identification
of class from Moira.
Next steps:
a. Now that the immediate need (allowing lookups when the Athena
directory is unavailable) has been completed, we need to determine
the algorithm and process to continue the Moira import.
This can start this week, September 9, 1997.
b. Generate communication plan
c. Solicit additional feedback (ITLT) and understand the broader
concerns to moving forward.
