Dear Student Group Leaders,
The Association of Student Activities (ASA) will soon have a new Database t=
o better support student groups. In the past few years, we have increasingl=
y become aware of the inherent difficulties and limitations of the current =
database platform. In order to address these issues, the ASA and the Studen=
t Activities Office (SAO) worked together to move away from the current Dat=
abase and create a new one hosted by CampusGroups. It is our hope that the =
new Database will be more sustainable and versatile.
In particular, we want to make you aware of the following key dates and cha=
nges:
1. The new CampusGroups ASA database will be launched early next week. =
You will receive another email and an Officer User Guide once the new datab=
ase has gone live. Please note that you will be able to access the new Dat=
abase through the current web link (https://asa.mit.edu/) when the transiti=
on is complete.
2. In order to ensure that the new ASA Database is as complete as possib=
le, we would like to encourage you to update your student group=92s informa=
tion in the current ASA Database. Data will be migrated to the new website =
on Wednesday, July 19th. As such, data entered into the ASA Database after =
11:59 PM on Tuesday, July 18th will not be included in the data migration a=
nd will have to be re-entered once the new Database goes live.
3. All student groups will be required to have an abbreviation/acronym i=
n the new Database. The abbreviation must be unique to your MIT group, 3-12=
characters, letters and numbers only (no space or special characters). Gro=
ups who do not have an abbreviation or whose abbreviation does not comply w=
ith these restrictions will have their abbreviation assigned to the current=
ASA Database Group ID number. This abbreviation may be changed after the D=
atabase goes live by contacting the ASA.
