Dear All,

A couple things to do when you are writing your monthly report to
undergrads:

1. Do not use acronyms. The first time you write something like
"Undergraduate Association", you write "Undergraduate Association (UA)",
and then afterward you can use UA.
2. Assume that your reader knows absolutely nothing about who you are and
what you are doing, so give all necessary background so that what you are
saying makes sense. In sum, avoid summaries. Also, double check what you
have written to be sure that it avoids making assumptions of knowledge,
which may be common to your internal 'committee-speak'.
3. Remember that the goal of the report is to inform undergraduates about
what we are doing, to provide complete transparency. Do not try to be
concise, and thus raise the potential of misinformation. The people who are
interested will read it, and the people who are not will not. The weekly
newsletter, or an email to undergrads, is when you publicize about
events/initiatives - not this monthly report. This email out is a report,
not a newsletter. Write accordingly.
