Meeting minutes 6/22

Attendance: Nathan, Michael, Nina, Claire, Amanda, Kyra
Advisor: Ellen

Shared Google Drive stuff...

LEADERSHIP
- Covering some topics from CAPS
- Defining exec position roles (will discuss more at next meeting)
- Action item: Clear definitions of leadership roles (finish by next meetin=
g)
- (President role provided as example)

- Need to define what a PC is
working def: know time and place of event, forward information, encourage b=
rothers to go, send out email reminder 24-48 hours before event start
- (Also need to take attendance at event, so need to go, and also make sure=
 brothers get there on time)
- Position may include being POC between the chapter and the organization/s=
ervice
- Also includes gathering required equipment/stuff

- Defining transition template to better define transition
- PC of each event would fill out "transition form"
- (event name, name as PC, description of event, how many participated, wha=
t went well, what could be improved, advice for whoever PCs event next)

- Officer transition form: end of the semester
- (fill out before elections; each officer writes position, semester they h=
eld position, certain events in charge of)
- (what went well, what could be improved)

- Fill out progress reports to keep track of people
- (Can tie into powerpoints for each meeting)
- AC in charge of pulling out action items from each meeting (so exec membe=
rs will be held accountable for action items)
- Information about hell weeks coming up (Personal update, etc.)
- Help you need from officers

- Action plan for hosedness (have always had someone who was super hosed an=
d became MIA; need action plan to deal with this)
- Want to make sure they're okay and also help them fill role
- After they're unresponsive for 2 weeks or work not getting done, email/Me=
ssenger/text them
(messaging is to make sure they're okay and ask if they need help with anyt=
hing)
- Start doing job for them after 2 weeks; exec will divide rights and respo=
nsibilities between rest of members
- (Whoever is closest to them in the chapter will contact them)
- (case-by-case cake)
- (make sure it's okay to say that things are rough)

SERVICE
- 2 service events planned for September before semester starts
- Action item: polling for service events by next weekend

(skipping fellowship...things seemed pretty much okay here)

BIG PROJECTS
- BookEx: labels printed; just need to enter our books and apply labels
- Laptop situation needs to be resolved
- Action item: email sororites by next (this?) weekend so there is no confl=
ict about the room

- MBU (Merit Badge University): Nov 4 and Dec 2; option to do one of those =
instead of the talent show

- LD Day: probably doing it in October

- TALENT SHOW FATE: May consider doing a Poetry Slam/Spoken word
- Action item: plan out what this would require by next meeting
(i.e. people to invite to perform, what should it be about, etc.)(idea is t=
o not limit it too much but also have it be light-hearted as well...)

RUSH CHAIR
- (help with BookEx?)

BIG-LITTLE PROGRAM
- Definitely helpful
- Also may consider "Family Program"/"HP House"
- (if we have a lot of pledges, will likely have to do house system; if onl=
y 3-5 pledges, should be able to do 1-on-1 big-little program)
- "speed dating event" (pledges come and meet actives)

BYLAWS AND STANDING POLICIES
- Will be assigned sections to read/see what to change
- (lots of gendered language; out-dated exec positions)(voting on pledges)
